Job Description

Pacifico Energy develops, finances, builds, and operates energy infrastructure that powers businesses and communities. In the U.S., we are tackling one of the biggest challenges facing AI and large-scale data centers: access to reliable power. Our private grids bring dedicated generation and energy storage directly to customers, helping projects move forward without waiting for traditional utility connections. We draw on Pacifico Energy Group’s experience across the U.S., Japan, South Korea, and Vietnam, spanning solar, wind, battery storage, and natural gas. Joining Pacifico means helping turn ambitious energy projects into operating infrastructure, with work that connects directly to the people and businesses building the future of AI.

We’re looking for a Workplace Experience Coordinator who loves bringing people together and making an office feel welcoming and run smoothly. You’ll join a close-knit, high-performing team in Dallas with a startup mindset: we move quickly, pitch in, and adapt as the business grows. We work hard, celebrate our wins, and make time to have fun together.

You’ll own the everyday experience of our office, and your first big project will be helping lead our move to a new space, so the team walks into a workplace that’s ready on day one. Beyond the move, you’ll be the person who keeps our office running well and our people connected, from a warm welcome at the front desk to events that recognize team wins.

If you enjoy getting to know people, spotting what needs doing, and bringing order to changing priorities, you’ll have plenty of room to make an impact. This is a full-time, on-site role based in our Dallas office. No travel is required.

What you’ll do

Workplace & Office Move

  • Help lead our upcoming office relocation end to end: build and manage the move timeline, coordinate movers, packing and unpacking, and keep employees and building management informed at every stage.
  • Coordinate new-office setup, including furniture, equipment, supplies, signage, and utilities; partner with vendors and our external IT provider so workstations, meeting rooms, and shared spaces are ready for use.
  • Gather input from the team on how they use the space and help turn it into practical layout, seating, and amenity decisions.
  • Walk through shared spaces daily to keep them clean, stocked, and ready; coordinate janitorial, facilities, and plant care.
  • Serve as the main contact with building management for maintenance requests, access badges, keys, parking, and repairs.
  • Manage conference-room calendars, resolve booking conflicts, and keep meeting spaces ready for use.
  • Support day-to-day workspace needs and plan future reconfigurations as the team grows.
  • Coordinate facilities upkeep and maintenance of printers, A/V, and shared office equipment, working with building management and vendors to resolve issues.
  • Coordinate office IT needs with the external IT provider, including employee setup and departures, equipment tracking, and day-to-day support.
  • Maintain office procedures, emergency contact lists, and safety information.

Engagement & Office Culture

  • Help build a welcoming, connected office culture: get to know the team, invite ideas and feedback, and turn them into improvements that help people feel included and supported.
  • Plan team gatherings, office celebrations, milestone events, and the annual holiday party that bring people together and recognize team wins.
  • Create moments that keep the team engaged through the move, such as a send-off for the current office and a welcome event in the new one.
  • Coordinate on-site meetings and All-Hands events, including room setup, catering, materials, and A/V.

Front Desk & Guest Experience

  • Welcome and check in guests, notify hosts, and escort visitors to prepared meeting spaces; direct incoming requests to the right people.
  • Manage guest access and building or parking arrangements for visitors.
  • Receive deliveries and manage incoming and outgoing mail, including opening, scanning, distributing, shipping, and tracking packages.
  • Keep reception and front-of-house presentable, organized, and professional.

Vendors, expenses & administrative support

  • Serve as the point of contact for local vendors and service providers; track contracts, renewals, invoices, and service requests.
  • Monitor inventory and order office and kitchen supplies within budget; organize refreshments and shared storage.
  • Collect receipts and support monthly expense reporting through our expense and accounts payable tools; help ensure reimbursements and vendor requests are submitted accurately and on time.

Candidate & New-Hire Logistics

  • Coordinate on-site interviews with the recruiting team, including scheduling, room bookings, candidate welcomes, interviewer attendance, and lunches; keep interviews running on time and manage last-minute changes.
  • Prepare for new hires, including desk setup, equipment, supplies, and first-day logistics, so every new teammate feels welcome from day one.

What You Bring

  • 2+ years of experience in office administration, workplace or office coordination, reception, or a similar role.
  • Experience running the day-to-day operations of a busy, in-person office and serving as a professional first point of contact.
  • Experience coordinating an office move, build-out, or reconfiguration is a strong plus.
  • A track record of planning events or engagement activities that people want to attend.
  • Strong organizational skills and attention to detail, with the ability to manage several projects and requests at once.
  • Experience working with vendors, building management, and service providers, and tracking invoices and expenses.
  • A welcoming, service-oriented approach and clear written and verbal communication.
  • Good judgment, initiative, and the ability to solve day-to-day problems independently.
  • Comfort with Microsoft Office, Google Workspace, calendars, shared drives, and modern office tools; experience with expense or AP systems is a plus.
  • Discretion when handling confidential employee and business information.
  • Comfort with a fast-moving startup environment, changing priorities, and pitching in as the team’s needs evolve.

If you meet most, but not all, of these qualifications, we still encourage you to apply.
