PURPOSE STATEMENT

The Nursing Operations Coordinator supports nursing unit leaders in the day-to-day operational, quality, staffing, and educational functions of assigned nursing units. This role serves as a key resource for nurse managers and directors by coordinating staffing processes, maintaining workforce records, assisting with quality improvement initiatives, conducting chart audits, supporting regulatory compliance, and staff education programs. The coordinator helps ensure efficient unit operations, high-quality patient care, and adherence to organizational and regulatory standards.

ESSENTIAL FUNCTIONS

Staffing and Workforce Management

  • Assist nursing leaders with daily staffing coordination and scheduling processes.
  • Review, verify, and process employee timecards for accuracy and compliance with payroll policies.
  • Monitor staffing levels, productivity, overtime, and agency utilization.
  • Prepare staffing reports and workforce metrics for nursing leadership review.
  • Coordinate schedule changes, call-ins, and staffing adjustments as directed.
  • Maintain staffing records and support workforce planning initiatives.
  • May occasionally work the floor and care for patients.

Quality Improvement (QI) and Performance Monitoring

  • Support nursing quality improvement projects and departmental initiatives.
  • Collect, compile, and analyze quality and performance data.
  • Prepare reports, dashboards, and presentations related to quality indicators.
  • Assist with tracking unit-based goals, action plans, and performance outcomes.
  • Participate in performance improvement meetings and follow-up activities.

Chart Audits and Regulatory Compliance

  • Conduct routine chart audits to evaluate documentation of completeness, accuracy, and compliance.
  • Monitor adherence to organizational policies, accreditation standards, and regulatory requirements.
  • Identify documentation trends and opportunities for improvement.
  • Maintain audit records and prepare summary reports for nursing leadership.
  • Assist with readiness activities for regulatory surveys and accreditation reviews.

Education and Staff Development

  • Attend staff meetings as required.
  • Coordinate staffing for education programs, competency validation, and annual training requirements.
  • Assist with maintaining records of staff certifications, licensure, and educational compliance.
  • Assist with orientation and onboarding activities for new nursing staff.
  • Assist with scheduling educational sessions and track attendance and completion rates.
  • Collaborate with educators and nursing leaders to identify learning needs and support professional development initiatives.

Administrative and Operational Support

  • Assist with preparing meeting agendas, minutes, reports, and correspondence for nursing leaders.
  • Maintain departmental databases, records, logs, and operational documents.
  • Assist with policy updates, document management, and communication of operational changes.
  • Serve as a liaison between nursing leadership, staff, human resources, payroll, and other departments.
  • Serve as a resource for the nursing units and assist with problem solving.
  • Support special projects and operational initiatives assigned.
  • Supports the Medical Center’s Mission/ Vision/ Philosophy positive.
  • Maintain regular and predictable attendance.
  • Additional duties will be assigned by the Department Director.
Requirements:

EDUCATION/EXPERIENCE/SKILL REQUIREMENTS

  • High school diploma or equivalent.
  • Currently licensed to practice as a professional Practical Nurse (LPN) in the state of Missouri or possess an Associate’s Degree in Healthcare.
  • Current American Heart Association (AHA) BLS required.
  • Clinical knowledge and critical thinking skills are sufficient to support safe patient care and departmental operations.
  • Must possess a minimum of one (1) year of bedside acute care experience.
  • Demonstrates knowledge of regulating bodies.
  • Knowledgeable of and consistently enforces established Nursing, Human Resources, and Hospital policies/procedures.
  • Demonstrates positive customer service relations.
  • Must be self-motivated and can work within the established policies, procedures and practices prescribed by the hospital/clinic.
  • Experienced or ability to learn Microsoft office, Excel, Canva and PowerPoint.
  • Ability to learn and adjust to new programs used by the department/hospital.

PHYSICAL/MENTAL REQUIREMENTS

  • Must be able to sit and stand, intermittent 8 to 10 hours a day.
  • Must be able to use standard office equipment, including the telephone and computer keyboard.
  • Continuously utilizes manual/bi-manual dexterity, near vision, speech, and hearing.
  • Frequently stands, walks, sits and utilizes eye/hand coordination and color definition.
  • Occasionally reaches above shoulder, regularly required to lift and/or carry up to 40 lbs.
  • Occasionally walks on uneven surfaces.
