Job Description
Position Summary:
The Front Office Coordinator is responsible for managing the day-to-day operations of the front office, ensuring smooth patient interactions, efficient appointment scheduling, and effective communication between patients and medical staff. This role plays a critical part in the smooth functioning of the practice, offering direct support to both patients and staff while maintaining a high standard of professionalism and organization.
Responsibilities and Duties:
- Greet and welcome patients in a professional and friendly manner.
- Answer and direct calls on a multi-line phone system, providing excellent customer service.
- Verify patient information (e.g., insurance, demographics) and ensure system updates.
- Provide patients with necessary forms, consents, and instructions.
- Manage appointment scheduling and maintain an organized calendar to ensure optimal physician and patient flow.
- Accurately perform data entry and manage patient information in the EMR system.
- Assist with clerical duties, including filing, scanning, and maintaining office supplies, ensuring smooth office operations.
- Provide support to medical staff as needed, including front desk and receptionist duties.
- Ensure patient confidentiality and comply with privacy regulations when handling sensitive information.
- Uphold strict confidentiality of patient information and adhere to HIPAA and other privacy regulations.
- Collaborate with the Practice Manager to improve front office operations and staff efficiency.
- Maintain a tidy and organized front office environment, including the waiting area and workstations.
- Assist with the preparation of medical records, insurance verifications, and patient referrals.
- Assist in the training and orientation of new front office staff, ensuring they are familiar with office procedures and protocols.
- Provide ongoing training and support to existing staff, focusing on best practices for patient interaction, appointment scheduling, and EMR usage.
- Monitor front office performance and offer feedback, coaching, and mentorship to staff members to improve efficiency and customer service.
- Other duties as assigned.
Qualifications, Education and Experience Requirements:
- Experience in a hospital or clinical setting preferred.
- Strong organizational, communication, and problem-solving skills.
- Ability to work in a fast-paced environment and to work on multiple projects at the same time.
- Proficiency in medical software and computer systems.
Salary: $20.00 to $26.00 per hour DOE
