Job Summary

The General Affairs Manager serves as a key partner to the Director of General Affairs, providing both strategic and administrative support across governance, compliance, office operations, and corporate initiatives. This role acts as a central coordinator to ensure efficient daily operations while supporting policy development, risk management, and cross-functional projects. The General Affairs Manager must be bilingual in English and Japanese.

Essential Duties and Responsibilities

  1. Office & Administrative Management:
  • Oversee day-to-day administrative operations of the General Affairs function.
  • Supervise the Office Supervisor by assigning tasks, providing guidance, and supporting performance development; foster a collaborative and efficient work environment.
  • Partner with Facilities and EHS teams to maintain a safe, compliant, and positive workplace environment.
  1. Business Insurance Management:
  • Support the Director of General Affairs in insurance-related matters, including renewals, negotiations, and coverage analysis.
  • Coordinate insurance operations such as claims submission, follow-up, tracking, and closure.
  1. Proposal Processing and Management Support:
  • Manage proposal workflows, including reviewing, organizing and tracking for stakeholder review.
  • Support preparation and coordination of executive-level meetings, including Management Committee and Board of Directors meetings.
  1. Expatriate Support:
  • Coordinate expatriate support services, including visa processing, housing arrangements, and transportation setup.
  • Ensure a smooth onboarding and transition process for expatriates assigned to the U.S.
  1. Legal, Compliance, Regulations and Policies:
  • Support the development, implementation, review, and continuous improvement of corporate policies and procedures.
  • Assist in strengthening corporate governance and ensuring compliance with internal standards and external regulations.
  • Manage the contract management system, ensuring all records are accurate, complete, and up to date; proactively monitor renewal timelines and recommend actions (renewal, amendment, termination).
  • Monitor changes in laws, regulations, and industry standards, and support updates to internal policies accordingly.
  • Participate in business continuity planning and risk management initiatives as a key support member.
  1. Project Management & Strategic Support
  • Lead or support cross-functional and ad hoc projects as assigned.
  • Act as a trusted partner to the Director of General Affairs, proactively identifying areas for operational improvement and supporting execution of key departmental initiatives.

Qualifications and Requirements

Required:

  • Bachelor’s degree in Business Administration or a related field
  • 5+ years of experience in a General Affairs or related role
  • Bilingual fluency in English and Japanese (business-level proficiency in reading, writing, and speaking)
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong knowledge of corporate governance, compliance, and administrative operations
  • Highly organized with exceptional attention to detail and accuracy
  • Excellent communication skills with the ability to effectively coordinate with internal and external stakeholders
  • Proactive, solution-oriented mindset with a strong sense of ownership and accountability
  • Solid understanding of office administration processes, including document management, procurement/order processing, and basic accounting functions
  • Demonstrated ability to manage multiple priorities, deadlines, and projects simultaneously

Preferred:

  • Minimum of 2 years of people management or supervisory experience
  • Experience supporting executive-level operations or working closely with senior leadership
  • Exposure to corporate risk management, insurance, or policy development initiatives

Work Designation: This position is a hybrid position, which is 3 days onsite, 2 days remote. #LIHybrid
