Transaction Coordinator
About the Role
M. Shapiro Real Estate Group is seeking a highly organized, proactive, and solutions-oriented Transaction Coordinator to lead the successful transition and onboarding of newly acquired or newly managed properties.
This is a project management and client-facing role. The Transaction Coordinator will serve as the central point of contact throughout the transition process, coordinating clients and internal teams to ensure that all required information, systems, people, and processes are ready for a successful go-live.
The ideal candidate is someone who naturally takes ownership, creates urgency, follows through relentlessly, communicates clearly, and can figure out what to do when things do not go according to plan.
You do not need to have experience in manufactured housing. We are looking for someone with strong project management, client communication, organization, problem-solving, and execution skills who can learn our business and apply sound judgment to each transition.
What You'll Do
Own the Transition
• Serve as the primary point of contact for clients throughout the property onboarding process.
• Establish and maintain transition timelines, milestones, priorities, and deadlines.
• Manage the onboarding tracker and ensure critical tasks are completed on time.
• Coordinate multiple workstreams simultaneously while keeping the overall transition on track.
• Identify potential delays or problems early and take action before they become larger issues.
• Maintain visibility into what has been completed, what is outstanding, who owns each item, and what needs to happen next.
• Prepare the property for a smooth and organized go-live and transition the property to the appropriate operational team.
Manage Clients
• Lead client kickoff meetings and clearly explain the transition process, expectations, timelines, and next steps.
• Build strong working relationships with clients and establish yourself as a trusted resource throughout the transition.
• Gather information, documents, contacts, and operational knowledge from clients.
• Ask thoughtful follow-up questions to understand how each property currently operates.
• Communicate progress, outstanding items, risks, and changes clearly and professionally.
• Balance excellent client service with the need to hold clients accountable to deadlines and deliverables.
Coordinate Internal Teams
• Serve as the communication bridge between the client and internal departments.
• Coordinate with Operations, Accounting/Finance, IT, Sales & Marketing, Compliance, and other internal teams as needed.
• Make sure internal team members understand what they need to do, when it needs to be completed, and why it matters.
• Follow up on outstanding tasks and escalate issues when appropriate.
• Keep everyone working from the same information and timeline.
• Help remove roadblocks so team members can complete their responsibilities.
Problem Solve & Exercise Judgment
• Identify gaps, inconsistencies, missing information, and potential risks during the transition.
• Investigate problems rather than simply passing them along.
• Determine practical next steps when the original plan does not work.
• Adapt the transition plan to the realities of the property, client, team, or situation.
• Recognize when an issue can be solved independently and when it needs to be escalated.
• Think several steps ahead and anticipate what could go wrong.
• Make sound decisions using available information, business judgment, and urgency.
Manage Information & Details
• Collect, organize, review, and distribute large amounts of information and documentation.
• Coordinate required property, financial, operational, staffing, vendor, utility, technology, licensing, insurance, and other information.
• Ensure information is accurate and complete before it is handed to the next team.
• Maintain organized electronic files and transition records.
• Track outstanding documents and follow up persistently until they are received.
• Help identify discrepancies between information received from the client and information entered into company systems.
Prepare for Go-Live
• Coordinate the final stages of each property transition.
• Confirm critical systems, information, contacts, documentation, and operational requirements are ready.
• Coordinate final outstanding items and communicate readiness to leadership and internal teams.
• Help ensure the transition is organized for the first 30 days of operations.
• Complete an effective handoff to the Regional/Operations team.
