Job Description

Description:

Who Are We

Driven by local decision-making, transparency, and integrity, Hartwinn Group (HWG) and NPS Pharmacy prioritizes health equity over profit margins by reinvesting a significant portion of its net income directly back into community and national nonprofit partners. As the foundational entity of the Hartwinn Group, NPS Pharmacy delivers patient-first clinical pharmacy care, including national specialty mail-order services to underserved populations such as individuals living with HIV, LGBTQ+ communities, and low-income households. Today, NPS Pharmacy and JAXSCO (HWG) supports over 25,000 patients nationwide while empowering nonprofits, FQHCs, and AIDS service organizations through 340B management as well as pharmacy and clinic administration.

What We Need (Job Summary)

The Pharmacy Technician, 340B Ordering and Patient Management Coordinator manages operational and administrative workflows for covered entity 340B drug orders and oversees specialty patient management tracking within the Therigy platform. Operating as a non-exempt individual contributor under pharmacist supervision, this position coordinates between covered entities, pharmacy staff, drug wholesalers, third-party administrators (TPAs), and healthcare providers to ensure accurate order placement, shipment tracking, patient profile maintenance, and outreach task completion. The position maintains strict boundaries between administrative care coordination and clinical practice; covered entities determine 340B eligibility, and licensed pharmacists maintain exclusive responsibility for clinical assessments, therapeutic decisions, and patient counseling.

What You’ll Do (Essential Job Functions)

  • Serve as the primary operational contact for receiving, verifying, and processing 340B drug order requests, ensuring strict accuracy of NDCs, package sizes, quantities, delivery destinations, and authorizations prior to submission via wholesaler portals.
  • Maintain a real-time master tracking log to document request statuses, submission timestamps, delivery confirmations, backorders, shipping delays, and discrepancy resolutions.
  • Reconcile received shipments against purchase orders, packing slips, and wholesaler invoices, collaborating with receiving sites to confirm inventory accuracy and manage approved returns, credit requests, or order adjustments.
  • Maintain organized, audit-ready physical and digital records of order approvals, invoices, receipts, and TPA data reconciliations to ensure continuous readiness for HRSA and internal 340B audits.
  • Build and maintain complete patient profiles within the Therigy platform, accurately entering verified demographics, insurance details, provider information, and administrative data.
  • Manage assigned Therigy task queues to ensure care coordination activities, missing documentation, and approaching deadlines are identified and completed on schedule.
  • Conduct structured, non-clinical patient outreach using approved scripts to assist with refill reminders, delivery scheduling, appointment coordination, and administrative follow-up.
  • Collect patient-reported information regarding therapy adherence, care barriers, or logistics preferences, routing all clinical concerns, side effects, missed doses, or therapy interruptions immediately to the supervising pharmacist.
  • Assist care teams by researching manufacturer copay cards, foundation funding, and patient assistance programs (PAPs) to minimize out-of-pocket medication expenses.
  • Identify and escalate potential duplicate orders, account discrepancies, near-misses, or safety concerns through established pharmacy leadership channels and incident reporting systems.
  • Participate in workflow optimization projects, quality reviews, and mandatory annual training covering 340B compliance, HIPAA privacy rules, and specialty pharmacy accreditation standards (URAC/ACHC).

Note: This list of essential job functions is comprehensive but not exhaustive. Other duties may be assigned based on business needs and the individual's skill set.

Requirements:

  • Hands-on proficiency with TherigyOutcomes or comparable specialty pharmacy patient management software across complex disease states, specialty therapies, HIV/infectious disease, or oncology operations.
  • Experience delivering direct pharmaceutical care coordination, patient education, and support within HIV-focused, LGBTQ+, or community health non-profit settings.
  • Professional bilingual fluency in Spanish.

What You Bring (Skills / Competencies)
