About This Position

Job Purpose/Summary

The AP Specialist will be a member of the Finance team whose responsibility will be for the timely and accurate processing of full cycle accounting for the payables. The AP Specialist will prepare reports according to schedule and will collaborate with other Finance team members to complete month end, quarter end, and year end processes within designated time frames. The position will perform full cycle accounts payable processing.

Duties/Responsibilities

  • Process approved purchase orders, work with key members of the company to comply with purchase order controls.
  • Process all accounts payable functions including:
    • Sort invoices and other incoming documents, receive approvals, code transactions, and match invoices to support and enter to the system
    • Reconcile vendor statements
    • Prepare and process weekly check run and online payments
    • Answer vendor inquiries
    • Identify discrepancies and resolve billing issues
  • Maintain historical records by scanning and filing documentation
  • Assists with month end, quarter end, and year end processes
    • Prepare month end accruals
    • Prepare monthly journal entry for accounts payable
  • Maintain the corporate credit card, provide supporting receipts, code transactions and prepare entry for each cycle
  • Prepared and maintain the Accounts Payable Aging with monthly reconciliation
  • Assist with management of the company's fleet program and correctly allocate expenses to the proper department
  • Perform ad hoc duties and assigned projects

Qualifications and Experience Required:

  • Bachelor's degree in accounting and/or 2+ years direct experience with Accounts Payable in a publicly traded company
  • Hands-on experience with ERP based accounting software packages preferred proficiency in MS Excel, Word and PowerPoint required
  • Excellent communication skills
  • Demonstrated ability to manage time and priorities to meet objectives
