About the role:
The Assistant Project Manager (APM) supports the planning, coordination, and execution of building automation and controls projects from installation through commissioning and turnover. This role is responsible for managing defined portions of projects and smaller-scale jobs while developing the skills required for full project ownership.
Working under the guidance of a Project Manager or Sr. Project Manager, the APM plays a key role in coordinating field activities, maintaining project documentation, and supporting budget and schedule tracking. This position is designed as a transitional step toward a full Project Manager role.
Key Responsibilities:
Project Execution Support
- Assist in coordinating day-to-day execution of BAS/controls projects to ensure alignment with engineering designs, schedules, and customer requirements.
- Manage defined scopes of work or smaller projects under supervision.
- Support development and maintenance of project schedules, including milestone tracking and updates.
Documentation & Project Controls
- Obtain, organize, and maintain project documentation including contracts, drawings, and specifications.
- Assist in reviewing submittals and drawing packages prior to field execution.
- Maintain accurate project records in DivPro, including notes, milestones, and billing support data.
Field & Subcontractor Coordination
- Coordinate subcontractors and Controls Technicians for assigned project scopes.
- Support commissioning activities by tracking progress and ensuring task completion.
- Conduct site visits as needed to monitor progress and document field conditions.
Financial & Administrative Support
- Track purchase orders, change orders, and project expenses.
- Assist in monitoring project budgets and identifying potential variances.
- Support monthly billing processes and milestone reporting for review by the Project Manager.
- Assist with review of technician timecards for alignment with project work.
Communication & Stakeholder Support
- Participate in project meetings and provide updates on progress, risks, and issues.
- Support customer communication and help manage expectations on schedules and deliverables.
- Escalate project risks or issues to the Project Manager in a timely manner.
Qualifications:
- 2–3 years of experience in construction, project coordination, or related field (BAS, MEP, HVAC preferred).
- Experience supporting project execution, documentation, or field coordination.
- Exposure to project scheduling, subcontractor coordination, or construction processes preferred.
- Working knowledge of building automation systems, HVAC controls, or electrical systems preferred.
- Strong organizational, coordination, and time management skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Effective communication skills with both internal teams and external stakeholders.
- Proficiency in Microsoft Office and project management software platforms.
Physical Requirements:
- Ability to travel frequently to job sites by car or plane, up to 85%
- Ability to stand, walk, and move throughout job sites for extended periods
- Ability to climb ladders, stairs, and lifts as required
- Ability to bend, kneel, crouch, and work in tight or confined spaces
- Ability to lift, carry, and maneuver equipment and materials up to 50 pounds
- Manual dexterity to handle tools, wiring, and small components
- Ability to work at heights and in varying indoor and outdoor conditions
- Ability to wear and work in personal protective equipment when required (hard hate, vest, safety glasses, gloves, and safety-toed boots)
- Visual keenness to read schematics, labels, and digital displays
- Ability to visually identify and differentiate wires by assigned color
- Ability to hear and respond to alarms, equipment sounds, and verbal instructions
- Capability to safely operate hand and power tools
