Details

Essential Job Duties:

1. Is accountable for the management of staff. Works with the Practice Manager to perform the following functions:

  • Works with the Practice manager to establish and maintain departmental policies and procedures.
  • Assists the Practice Manager in hiring, evaluating and disciplining staff.
  • Advises Practice manager of problems and concerns in the department.
  • Works on special assigned projects, compiles data and prepares reports.
  • Supervises assigned personnel. Assists in training, orientation and performance evaluation.
  • Attends required meetings. Participate in committees as requested.
  • Maintains confidentiality with patient account status.
  • Performs other duties as assigned by the Practice Manager.
  • Assists the Practice Manager with payroll.
  • Suggests process improvement for the department.

2. Provides guidance for staff in meeting the physical and emotional needs of patients and families.

  • Monitors and evaluates the quality of patient care.

3. Responsible for department coordination in consultation with the Practice Manager.

  • Suggests strategies and programs that are consistent with the Medical Group's mission, vision, policies, goals, and objectives.
  • Provides input for yearly budget needs.
  • Completes monthly time schedules, determining appropriate staffing levels.
  • Provide staffing coverage as needed.
  • Functions as liaison among Staff, Providers, and Practice Manager.
  • Assists in meeting the needs of new staff by serving as a resource person.
  • Coordinates in-service programs as it deals with the Department.
  • Assists with evaluation of equipment, supplies, and software applications.

4. Participates in developing, implementing, and evaluating department and service line opportunities for improvement.

5. Demonstrates knowledge of Medical Group policies and procedures.

  • Uses appropriate reference materials such as the Policy and Procedures Manual.
  • Assists in the implementation of new policies and procedures.
  • Reviews and assists in revision of existing policies and procedures in consultation with the Practice Manager.

Requirements:

1. Minimum of four years' recent clinical experience in medical office setting.
2. CMA, LPN, RN, ATC or other healthcare-related certification or degree.
3. Prior experience as a Team Lead, Project Lead or medical office supervision is a plus.
4. Time management. Ability to manage multiple tasks within the designated time.
5. Understands the scheduling process from beginning to end with knowledge to resolve all scheduling issues.
6. Knowledge of medical terminology and office procedures.
7. Interpersonal skills to work with and collaborate with peers, other departments, and employees.
8. Ability to use general office equipment. Familiar with other software applications used in a medical office setting.
9. Writing ability necessary to include medical record documentation and other necessary communication.
10. Able to work under stress related to multiple patient care demands occurring simultaneously as well as the demands associated with management responsibilities.
11. Flexible to meet the demands of the department.
