Job Description
We are seeking a proactive, detail-oriented, and highly skilled Executive Assistant to provide comprehensive support to the CEO and executive team. The ideal candidate is a strategic thinker who thrives in a fast-paced environment, excels at managing competing priorities, and maintains utmost professionalism and discretion.
As an Executive Assistant, you will be responsible for providing administrative support to our executive team. This includes managing schedules, arranging travel, coordinating meetings, and handling correspondence. Additionally, you will be entrusted with maintaining confidential information, preparing reports, and assisting with cross-departmental projects in areas such as sales, marketing, events, and operations.
Key Responsibilities
Executive Support
- Serve as a trusted partner to the CEO, managing a dynamic calendar, prioritizing appointments, and ensuring time is optimized.
- Prepare and organize materials for meetings, including agendas, presentations, and follow-up actions.
- Screen and manage all forms of communication, including emails, phone calls, and correspondence.
Project Management
- Oversee and execute special projects as directed by the CEO, ensuring deadlines are met and deliverables exceed expectations.
- Collaborate with internal and external stakeholders to track progress and ensure alignment with organizational goals.
Meeting & Event Coordination
- Schedule, coordinate, and manage logistics for meetings, conferences, and travel arrangements.
- Act as a liaison to the executive leadership team, board members, and external partners.
Administrative Excellence
- Maintain confidential records and ensure sensitive information is handled with discretion.
- Streamline processes and systems to enhance organizational efficiency.
- Prepare expense reports and assist with budget tracking for the CEO's office.
Leadership & Team Engagement
- Act as an extension of the CEO, fostering relationships and serving as a point of contact for inquiries.
- Contribute to maintaining a positive and productive work environment by anticipating team needs and proactively addressing challenges.
Education: Bachelor's degree in Business Administration, Communications, or related field preferred.
Experience: 7+ years of experience supporting C-level executives in a similar role.
Exceptional organizational and time management skills, with a proven ability to handle multiple priorities seamlessly.
Strong written and verbal communication skills, including proficiency in drafting and editing documents.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools (e.g., Teams, OneNote).
Ability to work independently, exercise sound judgment, and demonstrate a high level of emotional intelligence.
