Position Summary:
The Pastor’s Assistant provides administrative, organizational, and ministry support to the pastor and church leadership. This role helps ensure the smooth operation of church activities, communications, scheduling, and member services while maintaining confidentiality and professionalism.

Essential Job Functions

· Manage the pastor’s calendar, appointments, meetings, and travel arrangements.

· Prepare correspondence, reports, presentations, and church documents.

· Answer phone calls, emails, and inquiries on behalf of the pastor when appropriate.

· Maintain confidential records and files.

· Coordinate communication between the pastor, church staff, ministry leaders, and congregation members.

· Prepare church announcements, newsletters, and bulletin content.

· Assist with social media updates and website content as needed.

· Assist with volunteer coordination and ministry scheduling.

· Organize worship services, special events, conferences, and other church functions. Assist with volunteer coordination and ministry scheduling.

· Support follow-up efforts with visitors, members, and community outreach initiatives.

· Organize meetings and prepare agendas and materials.

· Keep accurate records of church activities and correspondence.

· Assist in coordinating visitation schedules, prayer requests, and member support services.

· Serve as a welcoming point of contact for church members and visitors.

· Provide compassionate assistance while respecting privacy and confidentiality.

Additional Job Functions

· Perform any job-related tasks necessary for the smooth flow of operation with the Parish Office.

· Assist the Parish Office staff with special projects on an as needed basis.

· Maintain all sacramental records and prepare sacramental certificates as needed.

· Prepare the annual diocesan Pastoral report.

Requirements:

· Problem solving and initiative.

Minimum Qualifications

· Active practicing Roman Catholic in communion with the Church.

· High school diploma or equivalent; associate or bachelor's degree preferred.

· Previous administrative or church office experience preferred.

· Strong organizational and time-management skills.

· Excellent verbal and written communication abilities with an excellent command of the English language.

· Proficiency with Microsoft Office, Google Workspace, and church management software.

· Ability to maintain confidentiality and handle sensitive information.

· Bilingual in Spanish a plus.

· Commitment to the church’s mission, values, and beliefs.

Work Environment

· This job operates in a professional office environment.

· This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.

· May require occasional evening or weekend work to support church events and services.

Physical Demands

· This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
