Fleet Support Administrator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Fleet Support Administrator based in United States.

The Fleet Support Administrator plays a key role in maintaining efficient fleet operations by coordinating vehicle availability, repairs, documentation, and daily operational activities.
This position supports fleet performance by ensuring vehicles are properly maintained, prepared, and ready to meet customer demand.
The role combines administrative coordination, operational planning, and data-driven analysis to improve fleet reliability and efficiency.
You will collaborate with fleet teams, repair partners, dealerships, and internal stakeholders to keep processes running smoothly.
The ideal candidate is organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment.

Accountabilities:

The Fleet Support Administrator is responsible for supporting daily fleet activities, maintaining accurate records, coordinating repairs, and ensuring vehicles are operationally ready.

  • Perform daily fleet inventory checks, monitor vehicle availability, and support efficient allocation of vehicles based on operational needs.
  • Coordinate with dealerships, repair facilities, and service providers to manage vehicle repairs, maintenance schedules, and completion timelines.
  • Assist with work order management, repair estimates, purchase orders, and administrative processes supporting fleet maintenance.
  • Support preparation of new vehicles by ensuring required documentation, decals, tags, and system updates are completed before deployment.
  • Manage vehicle disposal preparation, including condition reports, equipment verification, and coordination of required repairs or updates.
  • Track shift activities, vehicle movements, cleaning schedules, and operational priorities to maintain fleet readiness.
  • Analyze fleet data and operational reports to identify trends, improve processes, and support informed decision-making.
  • Maintain accurate documentation related to inventory, repairs, vehicle status, and operational activities.
  • Collaborate with internal teams and external partners to resolve issues and ensure smooth fleet operations.
  • Support future fleet planning by monitoring demand patterns and assisting with operational improvements.
Requirements:

The ideal candidate brings strong organizational abilities, analytical thinking, and experience managing operational processes in a fast-paced environment.

  • Experience in fleet management, vehicle operations, business administration, logistics, or a related field preferred.
  • Strong analytical skills with the ability to review data, create reports, and identify opportunities for operational improvement.
  • Excellent organizational skills with the ability to manage inventory, repair schedules, documentation, and multiple priorities simultaneously.
  • Strong attention to detail and commitment to maintaining accurate records and processes.
  • Excellent communication skills with the ability to collaborate effectively with internal teams, vendors, and operational partners.
  • Ability to work independently while contributing positively within a team environment.
  • Comfortable working 40 hours per week, including day or evening shifts as needed.
  • Willingness to travel approximately 5–10%, including occasional air travel.
  • Ability to wear a professional company uniform as required.
  • Additional language skills are considered a plus.
