Description:

Ford Office Technologies mission is helping businesses thrive by delivering cutting edge office technology, solutions, and unparalleled customer experiences. We are seeking a motivated and ambitious individual to play a key role in supporting our accounting team.

The Billing & Accounts Receivable Analyst is a role requiring hands-on expertise in both contract billing and accounts receivable. This position requires the ability to interpret contract terms, apply them accurately to billing and AR functions, and manage complex reconciliation and pass-through billing workflows.

Candidates should have a background in contract-driven, asset-based billing environments. Experience with equipment financing, leasing agreements, or recurring service contracts is strongly preferred. This role is in-person, Monday through Friday, in Connellsville, PA

Requirements:

Accounts Receivable & Reconciliation

  • Process pass-through remittances daily, maintaining accuracy across rounding, rate structures, and decimal-level discrepancies.
  • Perform leasing AR balancing and aging reconciliation to ensure accuracy between internal records and leasing company accounts.
  • Oversee unapplied transaction management, ensuring items are identified, researched, and resolved on a weekly basis.
  • Support aging AR review and assist with collections escalations as needed.
  • Serve as a knowledgeable resource for AR team members on complex billing and contract-related inquiries.

Billing & Contract Administration

  • Manage spreadsheet-based billing workflows, ensuring accuracy and timely completion.
  • Process and track custom invoicing for vendors requiring submission through third-party portals.
  • Process vendor credits and rebates accurately and within required timeframes.
  • Assist with new lease auditing to ensure contract accuracy prior to billing activation.
  • Support contract termination tracking and follow-up, coordinating with team members to ensure billing is stopped, invoices are resolved, and records are updated.
  • Assist with lease disposition processing in coordination with the Senior Billing Specialist.

Workflow & Administrative Support

  • Review incoming delivery paperwork and setup packets; update SharePoint workflows, applying knowledge of contract types to accurately assign and flag items.
  • Manage and triage shared team email inbox, routing inquiries to the appropriate team members.
  • Answer inbound customer calls and address billing and contract inquiries, directing calls as appropriate.

Reporting & Metrics

  • Support the Billing Supervisor in monitoring departmental KPIs and billing metrics.
  • Assist with executive-level reporting and data compilation to support leadership oversight.

The ideal candidate is detail-oriented, self-directed, and capable of managing multiple recurring responsibilities while adapting to shifting priorities. They bring a collaborative approach to their work and take full ownership of their assigned functions.

Qualifications

  • Minimum five (5) years of experience in billing, accounts receivable, or accounting in a contract-driven or asset-based billing environment.
  • Associate's degree in Accounting, Finance, or a related field preferred; Bachelor's degree a plus.
  • Advanced proficiency in Microsoft Excel, including reconciliation workbooks, pivot tables, and formula-driven billing models.
  • Proficiency in Microsoft 365 suite, including SharePoint, Outlook, and Teams.
  • Experience with ERP or billing management systems required; familiarity with E-Automate a plus.
  • Demonstrated ability to learn and adapt to new technology platforms independently.
  • Strong attention to detail in high-volume reconciliation and balancing work.
  • Effective written and verbal communication skills; comfortable communicating with customers, vendors, and leasing companies.
  • Ability to manage multiple priorities and meet deadlines without losing sight of recurring responsibilities.
  • Thrives in a collaborative environment where cross-training and team support are expectations, not exceptions.
  • Works independently and communicates proactively when issues arise.
  • Contributes to a team culture of shared knowledge and mutual accountability.
