Job Description

Job Summary

Support the Development and Communications Department by providing responsive donor service, accurate gift processing, and donor data support. The Donor Relations Coordinator serves as a key point of contact for donor inquiries and the online giving platform, including recurring giving and account troubleshooting. This position processes gifts, prepares donor acknowledgements and tax receipts, maintains accurate donor records in Salesforce, and supports donor data cleanup projects, mailing lists and stewardship activities in collaboration with the Database Manager and Development team. The Donor Relations Coordinator will be required to be on site at least 4 days a week.


Summary of Essential Functions


Donor Services & Communications

    Serve as a key point of contact for donors, providing timely and responsive assistance with donation inquiries, recurring giving, online giving accounts, receipts, and other donor needs.Strive for first-contact resolution whenever possible and ensure questions requiring additional assistance are appropriately routed and followed up on.Manage Manna’s primary email account by triaging, responding to, and appropriately routing inquiries in a timely manner.Act as a first point of contact for the Development & Communications team phone line and triage calls and voicemails to the appropriate team member.Serve as the primary resource for Manna’s QGiv/Bloomerang online giving platform, assisting donors with account creation, donation inquiries, recurring gift setup and troubleshooting, payment or account issues, and other online giving needs.Support the creation and management of peer-to-peer fundraising pages and assist fundraisers with platform-related questions and troubleshooting.

Gift Processing, Acknowledgements & Donor Data

    Perform timely and accurate data entry of monetary and in-kind donations into Salesforce.Ensure gifts are accurately recorded and appropriately applied to campaigns, appeals, funds, and other designated fundraising efforts.Prepare, print and mail donor acknowledgement letters and tax receipts for processed donations, ensuring correspondence is accurate and timely.Organize and triage donor acknowledgement letters and other correspondence requiring personalized messages, signatures, or follow-up from appropriate Development team members or the CEO.Assist with maintaining clean, accurate, and complete donor records in Salesforce.Participate in donor data cleanup and database integrity projects in collaboration with the Database Manager.Communicate potential duplicate records, missing information, or other database issues to the Database Manager.Assist the Database Manager with preparing accurate donor lists for direct mailings and other Development initiatives.Develop a basic working knowledge of Salesforce reports for the ability to locate existing reports and make simple filter adjustments as needed for routine tasks.Support the Development team and CEO with donor relations by accurately tracking donor interactions, feedback, and requests in Salesforce.

Donor Stewardship & Retention

    Support donor stewardship and retention efforts, including making and tracking thank-you calls and sending donor correspondence.Assist with donor acknowledgement and follow-up activities to ensure donors receive timely and appropriate communication.Help identify and escalate donor issues or opportunities requiring additional attention from the Database Manager, Development leadership, or CEO.

Minimum Requirements and Required Core Competencies

    At least 2 years of experience in customer service support.Strong interpersonal communications skills, ability to empathize and connect with peopleStrong customer service skills. High proficiency using Microsoft Office Suite

Preferred Qualifications

    Must have a customer service mindset – ability to solve for the donor and create lively and memorable experiences for donorsMinimum of 2 years of experience in a nonprofit donor relations setting interfacing with donors directly through phones and emailsMinimum 1 year of experience working within a relational database environment preferably SalesForce

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to remain in a stationary position 50% of the time. The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc. The employee constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer. The person in this position frequently communicates with the public, volunteers, and vendors and must be able to exchange accurate information in these situations. The employee must occasionally move objects up to 50 pounds.


Environmental Conditions

When work in the warehouse is required, the employee will be exposed to a variety of fluctuating environmental conditions within the building including heat and cold. The employee must be able to work in these conditions for up to one hour at a time.
