Since 2014, the Theodore Roosevelt Presidential Library Foundation (TRPLF) has been planning and building a new, ambitious kind of presidential library and museum. Other presidential libraries tell the story of a single individual, but the Theodore Roosevelt Presidential Library (TRPL) – being built more than a century after T.R.’s death – will do more than preserve history. The TRPL will be a people’s library, bringing Roosevelt’s values and relentless spirit to life at a critical time in our nation and world, while simultaneously championing the stories of all who “dare greatly, think boldly, care deeply, and live passionately.”

Set in Medora, North Dakota, the library is surrounded by the breathtaking Badlands landscape. Participants at the TRPL will learn from – not just about – Roosevelt’s story, being transformed into the same stunning Badlands that served as the fulcrum in T.R.’s incredible life story.

Guided by the pillar principles of leadership, citizenship, and conservation, the Foundation has partnered with innovative partners – like the award-winning architecture firm, Snøhetta, and the best-in-class story crafters, the Future of Storytelling – to build an institution like no other. With plans to be the most sustainable presidential library and campus ever, a revolutionary approach to interpretive design, and programming that will spread the library’s message into neighboring Theodore Roosevelt National Park and beyond across the globe, the opportunity to join a talented team in building and opening this institution is truly unique.

About the Role

The Manager of Events is responsible for leading the planning, coordination, and execution of events hosted at the Theodore Roosevelt Presidential Library and other Foundation venues and locations. This role manages events from initial inquiry and concept development through execution and post-event evaluation, ensuring each event meets client expectations, operational standards, and the Library’s commitment to exceptional guest experiences.

The Manager of Events serves as a primary point of contact for clients and event partners, developing strong relationships while managing event logistics, budgets, vendors, contracts, and internal coordination. This role reports to the Director of Events and collaborates across departments to deliver seamless, memorable events that support the Library’s mission and revenue goals.

  • Proactive Problem-Solving: Anticipates potential challenges, develops contingency plans, and responds effectively to unexpected issues before and during events.
  • Team Collaboration: Works effectively across departments and with internal and external partners to create a cohesive, supportive, and high-performing event operation.

Responsibilities

  • Lead the planning, coordination, and execution of events from initial client inquiry through post-event evaluation.
  • Serve as a primary point of contact for clients, guests, vendors, and event partners throughout the event planning process.
  • Consult with clients to understand event objectives, preferences, budgets, and expectations and develop event plans that meet their needs.
  • Develop event timelines, production schedules, staffing plans, and detailed event specifications.
  • Coordinate with internal departments and external partners to ensure all event requirements are addressed.
  • Manage relationships with vendors, caterers, rental companies, entertainment providers, audiovisual partners, and other event suppliers.
  • Solicit quotes, negotiate pricing and terms, and coordinate vendor contracts and services.
  • Develop and manage event budgets, track expenses, and monitor financial performance.
  • Coordinate food and beverage, audiovisual equipment, rentals, décor, transportation, signage, entertainment, and other event needs.
  • Oversee event setup, event-day operations, and teardown to ensure a seamless experience for clients and guests.
  • Conduct site visits and event walkthroughs to assess logistics, identify potential challenges, and develop appropriate solutions.
  • Ensure events comply with applicable insurance, legal, health, safety, and organizational requirements.
  • Proactively identify and resolve issues before and during events, using sound judgment and professionalism in time-sensitive situations.
  • Coordinate event staffing and provide direction to event staff, temporary employees, and other event personnel as needed.
  • Partner with the Director of Events to develop and improve event processes, procedures, and standards.
  • Support the development of new event offerings and opportunities that enhance the Library’s reputation as a premier destination for meetings, celebrations, conferences, and special events.
  • Conduct pre- and post-event evaluations, gather client feedback, and identify opportunities for continuous improvement.
  • Prepare event reports and provide recommendations regarding event outcomes, client satisfaction, operational effectiveness, and financial performance.
  • Maintain accurate event records, client information, contracts, timelines, and other documentation.
  • Represent the Theodore Roosevelt Presidential Library professionally and embody its mission and values in all client and guest interactions.
  • Perform other duties as assigned.

Education & Experience

  • Bachelor’s degree in Event Management, Communications, Marketing, Business, or a related field preferred; equivalent professional experience will be considered.
  • 5+ years of progressive experience in event planning and management, with experience coordinating special events such as receptions, dinners, weddings, conferences, corporate events, or other large-scale gatherings.
  • Demonstrated success managing events from conception and planning through execution and post-event evaluation.
  • Experience managing client relationships and serving as a primary point of contact throughout the event lifecycle.
  • Proven ability to manage event budgets, track expenses, and identify cost-saving opportunities.
  • Experience sourcing, managing, and negotiating with vendors, including venues, caterers, audiovisual providers, rental companies, and other event partners.
  • Demonstrated knowledge of event planning principles, project management,logistics, and operational execution.
  • Exceptional written and verbal communication skills, including the ability to communicate professionally with clients, vendors, speakers, sponsors, partners, and attendees.
  • Strong problem-solving and decision-making skills with a demonstrated ability to manage on-site issues professionally and efficiently.
  • Proficiency with event management software such as Cvent, Eventbrite, or similar platforms, as well as Microsoft Office Suite and/or Google Workspace.
  • Ability to manage multiple priorities, meet deadlines, and maintain a high level of attention to detail in a fast-paced environment.

Requirements

  • Ability to lift and move objects weighing up to 30 pounds.
  • Ability to work in a combination of office-based and event-site environments.
  • Ability to remain on your feet and actively move throughout event venues for extended periods.
  • Flexibility to work evenings, weekends, holidays, and nontraditional hours based on event schedules.
  • Occasional travel may berequiredfor out-of-town events.
  • This is a full-time, salaried, exempt position based in Medora, North Dakota.

Benefits

Annual Salary: $70,000-80,000
