SALES COORDINATOR POSITION DESCRIPTION

Department: SALES

Reports To: Sales Manager

Position Overview

We are seeking a motivated and organized Sales Coordinator to support the sales team in managing event space, conference facilities, group bookings, and food & beverage outlets. This role requires excellent communication skills, attention to detail, and knowledge of California hospitality and labor law compliance.

Key Responsibilities

Sales Support & Coordination

• Assist the Sales Manager in generating leads, preparing proposals, and following up with clients.

• Coordinate group reservations, banquet events, and conference bookings.

• Maintain accurate records of contracts, agreements, and correspondence.

• Prepare sales reports and track performance metrics.

Client Relations

• Serve as a primary point of contact for clients during the planning process.

• Conduct site tours and assist with presentations to prospective clients.

• Respond promptly to inquiries and provide detailed information about hotel services.

• Ensure client satisfaction by coordinating with operations, catering, and front office teams.

Event & Group Management

• Support the execution of events by communicating client requirements to banquet and catering staff.

• Monitor event timelines and ensure smooth coordination between departments.

• Assist with billing, invoicing, and payment processing for group and event accounts.

Compliance & Standards

• Ensure adherence to California hospitality labor laws, including proper scheduling, overtime compliance, and recordkeeping.

• Follow hotel policies and procedures related to contracts, deposits, and cancellations.

• Maintain knowledge of safety and sanitation standards for food & beverage outlets.

Administrative Duties

• Manage calendars, appointments, and deadlines for the sales department.

• Prepare marketing materials and assist with promotional campaigns.

• Maintain CRM systems and update client information regularly.

Qualifications

• High school diploma required; Bachelor’s degree in Hospitality, Business, or related field preferred.

• 2 years of experience in hotel sales, event coordination, or hospitality.

• Strong organizational and multitasking skills.

• Excellent written and verbal communication abilities.

• Proficiency in Microsoft Office Suite and hotel property management systems (PMS/CRM).

• Knowledge of California labor laws and hospitality compliance standards preferred.

Physical & Schedule Requirements

• Ability to work flexible hours, including evenings, weekends, and holidays as required by events.

• Ability to stand and walk for extended periods during site tours and events.

Work Environment

The work environment characteristics described here are the responsibilities of those an associate will encounter while performing the essential functions of this job.

While performing the duties of this job, the associate regularly works near moving mechanical parts, occasionally works in outside weather conditions, and is frequently exposed to vibration. The associate is frequently exposed to fumes or airborne particles, and toxic or caustic chemicals. The associate occasionally works in high precarious places. The noise level in the work environment varies. The associate will most often work alone.
