Description:
This role contributes to NFPA’s Mission, Vision, and Strategic initiatives by supporting the day-to-day operation of the legal department and enhances attorney effectiveness. Also provides certain support functions for the Office of the President and Board of Directors.
PRIMARY DUTIES/RESPONSIBILITIES
Subject to the general direction of the General Counsel, the person in this role will have the following responsibilities:
- Organize and maintain documents and records in electronic filing systems; may include trademark registration and control; copyright permissions processing; contract storing and management; managing correspondence; creating, organizing and maintaining databases, official records, and other reference materials and generating reports.
- Perform basic legal research on relevant laws, regulations and legal articles.
- Draft, edit, proofread, and provide other support functions in connection with the preparation, delivery and storage of contracts and contract templates, correspondence, memoranda, and other legal documents.
- Assist with the management of litigation including coordinating document production and preparing correspondence.
- Support communications efforts of legal department within organization including by maintaining legal page on intranet. Interface with staff and others inside and outside of the organization to respond to inquiries.
- Handle general administration, record-keeping and information management functions of the Legal Department including coordinating meetings and travel arrangements and preparing expense reports Coordinate and manage information for insurance purposes.
- Coordinate and manage information for insurance purposes.
- Maintain strict confidentiality of the Legal Department and confidential information.
- Support Board of Directors through posting of meeting materials, support Board App, process Board expense reports, coordinate committee meetings, administer polls, and draft and Board communications.
- Provide back-up phone answering and other support functions, as needed, for the Office of the President.
- Perform other duties as assigned.
- Excellent organizational and interpersonal skills.
- Solid research and problem-solving skills.
- Attention to detail and follow through a must.
- Ability to work independently as well as on a team.
- Strong proofreading, editing and general document preparation skills.
- Ability to manage projects.
- Creative and flexible.
- Strong computer skills, proficiency with Microsoft Office Suite and SharePoint, familiarity with mobile Apple devices.
- Ability to learn and follow procedures and work closely with legal, technical and support staff.
- Minimum bachelor’s degree / Paralegal Certificate and at least 5 years of business/office experience including prior legal experience.
