Job Description
Goal:
Support Foothills Neurology in ensuring accurate and timely payroll processing and benefits administration, while maintaining the integrity and accuracy of payroll and benefits records.
Qualifications:
- High School Diploma or equivalent required; Associates Degree in Business or equivalent training preferred.
- Alternative qualifications may be considered as deemed appropriate by Foothills Neurology Leadership.
- Minimum of five years’ experience processing and administering payroll, including experience with payroll systems (we use Paylocity).
- General accounting knowledge and experience.
- Experience with HRIS Paylocity, ADP, Paychex is a plus.
- Proficient in MS Office Suite, including strong Excel proficiency.
- Strong math aptitude.
- Strong analytical, technical, and problem resolution skills.
- Ability to adapt to the changing demands of the business.
- Excellent written and verbal communication skills.
Certifications and/or Licenses:
- Certified Payroll Professional (CCP), a plus.
Job Summary
The Payroll and Benefits Coordinator is responsible for the timely and accurate preparation and completion of all procedures related to payroll and benefits administration, as well as providing support to the Human Resources Team in HR-related functions. This position involves handling a large volume of sensitive, confidential information regarding employees and the company, requiring discretion, confidentiality, and diplomacy.
This role is designed for an experienced payroll professional who has independently managed full-cycle payroll and benefits administration. You should possess a strong working knowledge
of payroll tax regulations, compliance reporting, and Arizona State requirements. Given that our system requires active oversight, you must be comfortable identifying discrepancies and resolving issues without system-driven alerts. You take ownership of accuracy, exercise discretion, and understand the importance of payroll as both a financial and compliance responsibility.
Essential Duties & Responsibilities
- Prepares and processes bi-weekly payroll for approximately 140 combined employees and physicians in both bi-weekly and monthly cycles.
- Ensure all State and Federal reporting, including new hire reporting, quarterly tax filings, W-2s, 1099s, and ACA reporting, are processed timely and accurately.
- Process employee lifecycle events, including new hire onboarding, separation, benefit life events, promotions, and employment status changes.
- Maintain personnel files in relation to payroll and related documents.
- Responsible for open enrollment and monthly benefit reconciliation.
- Serve as the employee point of contact for all benefits-related questions and issues; act as the primary resource for vendors and third-party administrators.
- Identify areas for improvement to streamline payroll and benefits processes.
- Process garnishment notices.
- Document and update procedures for payroll processing.
- Financial balancing/reconciliations Payroll/benefits and contributions.
Performance Expectations
- Compile all timecard data for payroll processing.
- Ensure that current employees are entered into the HRIS system.
- Research and respond to any state or federal correspondence, working closely with all federal, state, and local agencies.
- Adhere to all company policies and procedures related to payroll.
- Reconcile and pay all benefit billing during each payroll period.
- Process new hires and terminations in a timely manner.
- Address questions and complaints regarding payroll; resolve issues through qualitative reviews.
- Calculate and maintain accurate records related to personnel activities, such as vacation/sick leave accrual, pay rates, and overtime compensation.
- Prepare and process forms for automatic payroll deductions (insurance, garnishments, tax-deferred investments).
- Track claims for short-term and long-term disability, injury leave, FMLA, and workers’ compensation.
- Assist employees with benefit enrollment and respond to inquiries regarding benefit insurance programs, retirement group insurance, and workers’ compensation.
- Maintain strict confidentiality and professionalism.
- Manage, implement, and develop ideas for the company’s Culture Club, fostering a positive workplace environment and enhancing employee engagement.
- Create weekly posts regarding payroll updates, benefits information, and company culture initiatives to engage and inform employees.
- Perform any other duties as assigned.
