Administrative Support & Client Services Concierge/Receptionist

We are a forward-thinking law firm specializing in Workers’ Compensation. In response to our ever-growing client base, we are excited to implement an innovative client service system to streamline communication and enhance client experience through our centralized concierge service.
Position Overview:
We are seeking a detail-oriented Administrative Support & Client Services Concierge to manage our new centralized client communication system while providing comprehensive administrative support to our attorneys and staff. This position is a combination of legal work and concierge. The role serves as the first point of contact for client inquiries, ensuring efficient routing and timely follow-up of all clients' matters across departments, while also delivering essential administrative support.
This position requires full-time, on-site attendance at our Financial District office, Monday through Friday.
Key Responsibilities:
Client Services & Reception:
- Monitor and manage the central concierge email inbox, acknowledging receipt of client inquiries within established response times.
- Assess and route client questions to the appropriate legal departments based on subject matter expertise.
- Track all communications to ensure timely responses from the respective departments.
- Follow up with internal teams to maintain service standards and response times.
- Maintain detailed records of all client interactions.
- Identify patterns in client inquiries to improve service delivery.
- Coordinate with department heads to ensure proper handling of urgent matters.
- Serve as the company receptionist, managing front-desk responsibilities such as handling all incoming phone calls.
Administrative Support:
- Provide comprehensive administrative support to attorneys and legal staff across multiple departments.
- Assist with department projects, client intake processes, and case file organization.
- Manage office supplies and coordinate with vendors.
- Handle general office administrative tasks and special projects as assigned and provide backup support for other administrative staff members.
Required Qualifications:
- 2+ years of experience in customer service or client relations, preferably in a legal setting.
- Strong organizational abilities and attention to detail.
- Proficiency in email management systems.
- Familiarity with legal terminology and a basic understanding of law firm operations
Desired Skills:
- Previous experience in a law firm or legal department is a plus.
- Knowledge of legal practice areas and service delivery processes.
