Accountabilities
  • Lead and support a team of 10+ Admissions Coordinators managing a high volume of inbound and outbound interactions with prospective clients, families, and referral sources.

  • Hire, onboard, train, coach, and conduct performance reviews for Admissions Coordinators.

  • Establish clear expectations and provide ongoing feedback to help team members achieve individual and team performance goals.

  • Coordinate team schedules, workload distribution, and daily operations to maintain efficient coverage and service levels.

  • Ensure consistently high contact center service levels, communication standards, and call quality.

  • Lead the team in creating a supportive and client-centered admissions experience while addressing and resolving concerns related to the program.

  • Monitor key performance indicators, including admission rates, patient satisfaction, time-to-admission, and other operational metrics.

  • Partner with internal teams to identify and resolve operational barriers that could affect admissions, client experience, or performance outcomes.

  • Develop and implement best practices across admissions and discharge workflows to improve efficiency, consistency, and quality.

  • Analyze team performance and communicate relevant insights, progress, and opportunities to executive leadership.

  • Maintain accurate documentation and ensure team adherence to established timelines, policies, and operational standards.

Requirements
  • 3–6+ years of experience leading, supervising, or mentoring teams of Admissions Representatives, Sales Representatives, or similar client-facing professionals.

  • Demonstrated experience managing performance against measurable KPIs, quotas, service-level targets, or other operational goals.

  • Experience working with Salesforce or comparable customer relationship management systems.

  • Strong ability to multitask, prioritize competing demands, and make effective decisions in a high-volume, fast-paced environment.

  • Excellent coaching, communication, and people-management skills, with the ability to motivate and develop team members.

  • Strong customer or client service orientation and the ability to handle sensitive or complex conversations with professionalism and empathy.

  • Ability to analyze performance data and translate insights into practical improvements.

  • Strong organizational skills and attention to detail, particularly when managing schedules, documentation, workflows, and deadlines.

  • Proficiency with Microsoft Office and Google Workspace.

  • Experience in behavioral health or healthcare is a plus.

  • Familiarity with HIPAA requirements and healthcare privacy practices is a plus.

  • Comfortable working remotely while maintaining strong collaboration, accountability, and communication across distributed teams.

Benefits
  • Target base compensation of $80,000–$95,000 per year, with the final offer determined based on factors including location, experience, expertise, internal pay equity, and other business considerations.

  • Target performance-based bonus in addition to base compensation.

  • Comprehensive benefits package for eligible full-time employees.

  • Remote work within the United States.

  • Opportunity to lead a mission-driven admissions function that helps connect people with behavioral healthcare services.

  • Opportunity to develop and coach a growing team while influencing operational processes and client experience.

  • Employer-paid Florida fingerprint-based background check where required for the role.

  • Inclusive workplace focused on connection, evidence-based decision-making, urgency, and continuous improvement.
