About This Position
Performs payroll, accounts payable, and other assigned accounting/bookkeeping functions requiring the application of accounting principles and practices through the use of various software applications.
In addition to adhering to the policies and procedures as specified by the Alabama Technology Network, the host college, and the Alabama Community College System, duties will include, but are not limited to, the following:

Salary: Compensation is in accordance with the Alabama Technology Network’s 2024-2025 Salary Schedule T-4 ($55,537 - $98,113) to be determined by the applicant’s education and years of applicable experience.
Location: The selected candidate will be assigned to the ATN Central Office location at 135 South Union Street, Montgomery, AL. The employee will be required to report to work in-person to their designated office when not traveling for business.

Payroll:
- Perform all payroll functions including employee benefits, tax withholdings, corresponding reports, and other required activities.
- Prepare and process all payroll related liabilities including state, federal and local taxes, retirement, insurance, and other payroll deducted items.
- Review monthly timesheet entries and processes allocations.
- Update annual appointment letters and coordinate any annual step increases with NetSuite Administrator.
- Reconcile and prepare all year-end payroll reports (W-2’s, Affordable Care Act, Truth in Salary statements).
- Process year-end payroll taxable items (Imputed Insurance, Non-overnight Per Diem, Personal Mileage).
- Reconcile general ledger accounts relating to employee payroll, including employee benefits and tax withholdings.
- Coordinate all annual benefit open enrollments for employees.
- Update payroll records and make monthly changes as necessary
- Adhere to all federal, state and local tax laws.
- Maintain and reconcile all employee leave balances.
- Annual update of leave balance and accrual changes with NetSuite Administrator.
- Maintain employee payroll files and all supporting documentation.
- Prepare and submit annual Statement of Economic Interest report to Alabama Ethics Commission.
- Prepare annual Compensated Absences Report.
- Provide Verification of Employment upon employee request.
- Serve on Sick Leave Bank Committee as the Executive Director’s designee.
- Assist with new employee onboarding of payroll information and documents.
- Review and prepare invoices for payment.
- Process employee expense reports for payment.
- Work with vendors in obtaining documentation, resolving invoice discrepancies, and responding to all A/P related calls from vendors.
- Manage outstanding accounts payables files.
- Maintain accurate files on all paid vendors.
- Participate in annual audit process.
- Manage employee cell phone and wireless devices; maintain inventory and upgrades.
- Balance monthly credit card accounts and processes payments.
- Manage vendor accounts for Central Office purchasing.
- Respond to credit reference request from vendors.
- Ensure that complete and accurate records are maintained for review by the Examiner of Public Accounts.
- Ensure compliance with the standards set forth by the Alabama College Community System Board of Trustees and state and federal government agencies.
- Maintain the highest standard of confidentiality of office information.
- Participate in ATN committees as assigned.
- Participate in meetings and conferences of relevant professional organizations.
- Travel to meetings and conferences as needed, occasional over-night travel required.
- Perform other duties as assigned.
- The employee will be expected to work a flexible schedule which may occasionally include evenings and weekends hours.
- Ability to work independently with minimal guidance.
- Bachelor’s degree in accounting or related field from an accredited institution. NOTE: a minimum of eight (8) years’ full-time experience in accounting or bookkeeping may be accepted in lieu of degree.
- At least five (5) years of full-time work experience in accounting or bookkeeping.
- Knowledge of standard accounts payable procedures and general accounting principles.
- The ability to identify, analyze, and resolve issues, often requires analytical, creative, and communication skills.
- Excellent computer skills and experience with various software programs including Microsoft Office Suite and Office 365.
- Excellent oral and written communication skills
- Excellent planning and organizational skills
- Experience in payroll processing.
- Experience with NetSuite or ERP systems.
- Knowledge of Alabama Community College System’s fiscal policies and procedures.
- Knowledge of State Bid Law.
