Job Description

  • Position Summary
    • Coordinates patient scheduling including rescheduling and canceling appointments, scheduling referral appointments, and verifying patient’s demographical information. Establishes and maintains rapport with all people, both clinic and hospital personnel and the community at large is essential. Works in an atmosphere requiring teamwork and an orientation toward maintaining a high public image.

    • EDUCATION:
      • Required:
        • High School diploma or GED
        • Windows based computer knowledge
      • Preferred:

        • Valid Drivers License

    • TRAINING AND EXPERIENCE:
      • Required:
        • Must have excellent communication and customer service skills
        • Must be able to work under pressure and work with frequent interruptions
        • Must be able to adapt and work with a flexible work schedule
      • Preferred:
        • Previous scheduling and reception experience in a healthcare setting.
        • Previous registration/office experience
  • Essential Job Functions
    • Scheduling, rescheduling, and canceling patient appointments as required. Answering patients’ questions regarding basic medical tests and procedures. Providing instructions to patients to ensure that they are prepared for examinations and procedures.
    • Exhibits knowledge of provider’s schedules, visit types and durations. Shows initiative to know provider’s preferences and keep abreast of changes. Ability to work independently on appointments, appointment work queue’s and Clienttell list. Initiates call to patients who have missed appointments. Independently works on reschedule lists and waitlist. Ability to take complete and accurate messages and relay to appropriate staff. Monitors portal requests for appointments. Collects basis demographic and insurance information for new patients to set up EMR.
    • Exhibits advanced knowledge of scheduling for providers and departments. Understands differences between departments/providers, visit types and appointment durations, as well as provider preferences. Is able to work independently on appointment calls, provider reschedule lists, schedule WQs and Clientele list.
    • Exhibits advanced knowledge of phone operations; answering and placing calls on hold, transferring calls and retrieving calls, as well as overhead pages. Adequately communicates schedule changes to appropriate staff as often as needed.
    • Demonstrates the ability to handle patient needs in both simple and complex situations, giving precedence to patients with emergent needs, in a calm and timely manner. Also displays ability to construct clear and concise patient messages and relay information to appropriate staff in a timely manner.
