About This Position
Job Overview:
- Employee Information Specialist role organizes, processes and manages to deadlines the input of new hire, status change, termination and employee personal data for the health system,
- The activities include verifying the information in all documents electronic or paper, processing the information on all incoming documents and updating documents format, if needed,
- This role also maintains files and records, validates the accuracy of the data being input, and creates detailed reports on organization wide data use and management,
- Additionally, this role ensures accurate and timely completion of all data entries to meet regulatory and RWJBH compliance standards,
- These activities support high customer satisfaction with onboarding, transfer, payroll, and benefits processes while supporting manager and business needs for accurate, timely data for reporting, compliance, and business decision-making,
- These activities include ongoing auditing and validation of accurate data and information as compared to source material in HR and onboarding systems,
- Collaboration and establishment of positive relationships with onboarding, payroll, talent acquisition, benefits teams, and is critical to ensuring positive customer new hire, employee and manager experiences,
- Drive to deliver superior customer service, strong teamwork, and personal accountability to meet or exceed, Service Level Agreements/SLAs, and individual goals and performance metrics is critical to success,
- Responsible for license and certification verification, data analytics, I9 follow ups, audits, special projects, training materials update and other task as assigned.
Qualifications:
Required:
- High School Diploma or commensurate business experience required
- 1-3 years of relevant human resources, data processing or related work experience required
- Strong desire and ability to provide excellent customer service to customers by holding oneself accountable to providing timely, accurate, consistent data input and management and provide thorough responses to inquiries.
- Demonstrated high-level of technological acuity and understanding of onboarding and HR systems.
- Ability to manage competing priorities and tasks in a fast-paced environment to meet deadlines to ensure a positive customer experience.
- Exceptional attention to detail and excellent keyboarding/data input skills with a high degree of speed and accuracy with minimal errors.
Preferred:
- Bachelor degree in related field preferred.
- Healthcare industry preferred
Essential Functions:
- Execute an effective, efficient, and timely data input and management process to support onboarding, intra-system transfer activities and employee data updates, while ensuring a positive customer experience, and to meet obligations with respect to regulatory and RWJBH compliance,
- Data includes but not limited to new hires, termination, status change, personal data change, licenses and certifications etc,
- Demonstrates ability to organize, manage, input and improve the format of both paper and electronic data sources to ensure data processing is accurate and timely and data is validated against source materials,
- Collaborates and communicates well with HR team members and leverages feedback to continually improve effectiveness and customer experience.
- Responds within pre-determined SLAs to customer inquiry, complaint, or request, asks questions to ensure full understanding of issue, then provides an accurate, timely and thorough response to support a positive customer experience.
- Partners with onboarding, payroll, talent acquisition, benefits, and other members of HR teams to ensure positive customer experience and effective, efficient and timely input of employee and new hire information in compliance with regulatory and company standards.
- Understands processes and protocols for when to escalate inquiries or concerns on matters related to data input and management to support a positive customer experience.
- Participates as a team member to ensure a customer-focused, high-performance and inclusive work environment.
