POSITION SUMMARY:
The Office of Development serves as the primary fundraising and stewardship arm of the Catholic Diocese of Arlington, collaborating with the bishop, diocesan staff, pastors, parishioners, and community members to enhance financial support for the Diocese and its affiliated entities, including parishes, schools, Catholic Charities, the Catholic Foundation of Arlington, and the Diocese of Arlington Scholarship Foundation. The Office provides professional fundraising activities and support to meet operational, capital, and programmatic needs.
The Campaign Coordinator provides essential administrative, operational, and logistical support for a major diocesan capital campaign. In this role, the Coordinator advances the mission of the Diocese by supporting the faithful stewardship of resources entrusted by the community—resources that fund transformative investments in vocations, Catholic education, parish vitality, and evangelization.
This is a long-term assignment that is expected to last for at least three years, spanning three interconnected phases: a feasibility and planning study period, a leadership gifts solicitation period, and a broad participation campaign period. Throughout all phases, the Campaign Coordinator ensures that every donor encounter, gift record, and campaign communication reflects the excellence worthy of the mission it supports.
PRINCIPAL DUTIES:
Phase 1 - Campaign Planning Study (Months 1-6)
Coordinate logistics for the feasibility study, including scheduling confidential interviews and focus groups with the bishop, clergy, major donors, and lay leaders.
Prepare study materials: interview guides, case statement drafts, letters of invitation, and demographic research summaries.
Manage and track participant lists; follow up as needed to ensure full participation.
Support input sessions by taking detailed notes and compiling summaries for campaign leadership and the consulting firm.
Maintain organized records of study findings, prospect data, and feedback in the campaign database.
Assist with preparation of the planning study report and presentation materials for diocesan leadership.
Phase 2 - Leadership Gifts Solicitation (Months 6–20, overlapping Phase 1)
Support identification, research, and cultivation of leadership gift prospects ($100,000 and above).
Maintain and update prospect pipelines, tracking sheets, and strategy reports for the campaign director.
Coordinate solicitation meetings: schedule briefings, prepare materials, arrange logistics, and ensure timely follow-up correspondence.
Assist the campaign director and volunteer solicitors in preparing gift proposals, pledge cards, and presentation packets.
Track solicitation outcomes and next steps; ensure all activity is recorded accurately in the campaign database.
Phase 3 - Broad Participation Campaign (Months 6–36)
Support the organization and execution of the parish-based participation phase, including parish cluster events, kick-off Masses, volunteer trainings, and celebration events.
Manage production and distribution of campaign materials: brochures, pledge forms, parish packets, videos, bulletins, and digital assets.
Coordinate and support communications logistics: mailing lists, email campaigns, parish bulletin copy, and social media content (as directed).
Update campaign progress reports including participation rates, pledge totals, cash received, and parish-level performance.
Ongoing Responsibilities (All Phases)
Coordinate with the Development Services team to enter and update donor records, pledges, gifts, contact reports, and produce acknowledgment letters.
Assist in processing pledges and gifts: prepare pledge reminders, record payments, issue tax acknowledgment letters, and reconcile with the Diocesan Finance Office.
Manage campaign correspondence - thank-you letters, donor stewardship communications, pledge follow-ups, and pastoral outreach - with attention to voice and mission alignment.
Maintain comprehensive campaign files, reports, and archives (digital and physical) for audit compliance and institutional memory.
Ensure all activities align with Catholic ethical standards, diocesan policies, and IRS regulations governing charitable contributions.
Provide general administrative support to the campaign team as needed.
QUALIFICATIONS
Knowledge/Skills:
Understanding of and respect for Catholic Church teachings, mission and value with the belief that stewardship is a spiritual act
Excellent written and verbal communication skills with the ability to draft professional correspondence that reflects the tone and mission of the Diocese
Strong professional and interpersonal skills with the ability to work respectfully, collaboratively, positively, and joyfully with bishops, clergy, staff, volunteers, major benefactors, and parish communities throughout the Diocese
Working knowledge of donor database systems (Raiser’s Edge, NXT,or similar)
Fully proficient in the MS Office suite of applications; intermediate proficiency in Excel required
Problem solver with strong planning and organizational skills and keen attention to detail
Ability to take initiative, multi-task, and work with minimal supervision while maintaining flexibility and adaptability to evolving demands and timelines
High discretion and integrity in handling confidential donor, prospect, and parish information
Education Required:
BS/BA in Communications, Public Relations, Business, Marketing, or Nonprofit Management or equivalent degree and experience
Licenses/Certifications: Must maintain a current driver’s license.
Years and Types of Experience:
Three or more years of development-related experience, preferably in a non-profit organization. Experience with event planning and working with a contact relationship management (CRM) database for fundraising required.
Preferred
Experience supporting a diocesan or institutional capital campaign, feasibility study, or major gifts effort
Experience with volunteer coordination, event logistics, or data entry and reporting in a fundraising environment.
Familiarity with Catholic stewardship principles, capital campaign phases, and diocesan organizational structures
Basic familiarity with accounting principles as applied to gift processing and pledge tracking.
