Community Association Legal Assistant - Law Firm at Siegfried Rivera PA – Coral Gables, Florida

Siegfried Rivera has an immediate opening for a Legal Assistant for the community association law practice in its Coral Gables office. Candidate must have strong written and verbal communication skills, scheduling, and digital document management, be detail-oriented, organized, proficient in Microsoft Office 365, and able to work in a group setting. Some Job Duties:

• Provide administrative support to two or more attorneys.
• Draft letters, meeting packages, amendments, addendums, and agreements with attention to detail.
• Answer phone calls, take messages, and redirect calls when appropriate.
• Perform conflict checks, opening and closing of matters, and new client proposals.
• Maintain regular communication with supervising attorneys and clients.
• Conduct corporate searches and navigate State and DBPR websites for information.
• Keep cases organized by maintaining files and data management.
• Able to adapt to changing priorities and work in a fast-paced environment with a “can do” positive attitude.

Requirements:

• Must have strong computer skills with the ability to learn new software, if needed. Knowledge of PerfectLaw DMS is a plus.
• Must have experience with MS Office 365.
• Must have outstanding time management and verbal and written communication skills.
• Must have the following: Legal Administration Skills, Client Relationships, Dependability, and Client Confidentiality.
• Real estate experience or HOA/Condo experience is preferred.

Education:

Seeking a minimum of an associate degree; however, may substitute experience for qualified/skilled candidates.
