Job Description
Job Title: Facilities Manager
Supervisor: Director of Operations
Start Date: July 1 - June 30
Hours: 7:00am - 4:00pm, Monday through Friday. Specific arrival and departure times will be reviewed by the hiring manager.
Compensation: Codman Academy Charter Public School follows a compensation scale based on years of direct experience. 1 year experience starts at $47,626 (with High School graduate) to 13+ years direct experience starting at $83,136 (with MA) annually.
Description: The Facilities Manager will have strong knowledge of facilities management in all aspects - maintenance, procurement, regulation, compliance, budgeting, and oversight. The manager will be the main point of contact for all facility related issues.
Responsibilities include (but not limited to):
Building Management:
Manage building repairs and grounds maintenance, includes without limitation: physically performing carpentry, cleaning, electrical, furniture / equipment assembly, landscaping, masonry, painting, plumbing, snow removal, supply and inventory control, and event preparation
Contracting the maintenance and repair of all building systems, includes without limitation: scope development (if necessary), competitive bidding, securing proper approvals, scheduling, implementation, qualifying and directing subsequent repairs and maintenance necessary and maintaining all records accordingly, serve as point of contact for all related vendors
Schedule and coordinate with contractors regular inspections and maintenance (e.g fire sprinklers/alarm, burglar alarm, elevator, HVAC, pest control, trash & recycling, plumbing, roofing, sanitary disposal and cleaning)
Manage all maintenance systems to ensure optimum functionality, efficiency, and effectiveness. Systems include: Work Order System, Inventory and Supplies Distribution, Keys Management, Safety & Security Inspections, Preventative Maintenance, and Inventory Reconciliation
Schedule and coordinate with contractor’s regular inspections and maintenance (e.g fire sprinklers/alarm, burglar alarm, elevator, HVAC, pest control, trash & recycling, plumbing, roofing, sanitary disposal and cleaning)
Control activities which include parking space allocation, waste disposal, building security etc.
Collaboration:
In collaboration with the Director of Operations:
Develop and maintain an accurate budget for all building related plans
Implement the school’s emergency response protocols
Serves as a liaison for the compliance, permitting and certification requirements, including all local, state and federal inspections, and other agencies having jurisdiction
Develop a pool of qualified and licensed contractors (specialized skilled tradesmen) to support the operation and maintenance of the buildings
Lead the development of major facility and network development projects through completion
Documentation and Compliance:
Ensure proper operation and documentation all building systems, to include without limitation: fire alarm, fire sprinkler, security alarm, emergency lighting and signage, emergency egress, building access control, monitoring and recording, elevators, generators, communications, waste disposal, sanitary, plumbing, electric, heating, cooling, and ventilation
Ensure that inspection and maintenance are recorded and kept accurate
Adherence to local, state, and federal school procurement & purchasing guidelines
Track and communicate status of project requests to requestors and other interested parties to ensure timely feedback and accountability.
Physical Demands:
Maintain the ability to satisfy all physical demands: significant lifting, carrying, pushing and/or pulling up to 50 pounds; frequent stooping, kneeling, crouching and/or crawling; reaching above shoulder level; fine finger dexterity
Ability to withstand a variety of indoor and outdoor environmental conditions
Ability to operate machinery and tools
Ability to lift heavy equipment
Perform other facility related duties as assigned by Director of Operations, Head Of School and/or Principal
Qualifications:
Bachelor’s degree preferred in facility management, business information management, or engineering
3-5 years of experience in facilities maintenance, including time in a K-12 setting
Well-versed in technical/engineering operations and facilities management best practices
Strong procurement and negotiation skills
Knowledge of basic accounting and finance principles
Excellent verbal and written communication skills
Excellent organizational and leadership skills
Good analytical/critical thinking
