Overview
The Senior Human Resources Generalist will lead and support the full employee lifecycle from recruitment and onboarding through performance management, benefits, leave administration, employee relations, and offboarding while ensuring HR operations run with consistency and compliance. This role reports to the Vice President of People and Culture.
Responsibilities
Talent Acquisition
- Manage and lead the full recruiting process for all open positions
- Elevate Concordia as an employer of choice in our marketing and communication for open positions, and provide insight into decisions and changes that would prompt job-seekers to choose Concordia
- Manage and optimize the applicant tracking system (ATS); ensure a smooth and responsive candidate experience
- Build and maintain relationships with sourcing partners including community, city colleges, and universities
- Track and report recruiting metrics (time-to-fill, source of hire, offer acceptance rate) to the VP of People and Culture
Onboarding and Offboarding
- Provides comprehensive human resources support to all Concordia Place team members in coordination with the Vice President of People and Culture, including, but not limited to, onboarding, termination process, organizing and tracking personnel files and documentation (ensuring they meet all legal and audit requirements)
- Ensure all new hire Forms I-9 are completed accurately and on time, verify supporting documentation in accordance with federal requirements, and maintain I-9 files in an organized, audit-ready manner
- Design and deliver onboarding experiences that connect new employees to Concordia's culture and set them up for early success
- Maintain confidential personnel files and actions in compliance with applicable legal requirements; ensure documents adhere to document retention policy
- Ensure the timely and accurate completion of all offboarding activities for departing employees including HRIS termination, benefits offboarding, and personnel file archiving stepping in to execute directly as needed, and supporting the Vice President of People and Culture in the coordination and documentation of exit interviews
Payroll Administration
- Process biweekly payroll timely and accurately; ensure accurate employee withholdings for benefits, taxes, and 403b and 403b matching
- Process all post payroll reports for finance department
- Provide reports to monitor organizational/department trends; coordinate with directors so they can manage individual team member late arrival, sick time, vacation usage, etc
- Reconcile with the Finance Department and payment of withholdings
- Ensure accurate personnel database (HRIS), process timely employee status changes
- Responds to employee’s payroll inquiries
Benefit Administration
- Ensure accurate administration of the benefit plans, enrollments and terminations; make sure all the benefits changes are reflected
- Manage and reconcile benefit invoices in collaboration with the finance department
- Participates along with Vice President of People and Culture in Annual Open Enrollment discussions
- Execute and manage annual open enrollment; ensure distribution of plan summary materials and required notices, assist with communicating changes to employees and arrange for onsite representation by providers; process changes within deadlines
- Lead and manage leave programs, including FMLA and disability
- Ensure compliance with COBRA guidelines by working closely with COBRA Administrator to make sure that all paperwork is prepared and sent as appropriate, monitor COBRA insurance premium payments from prior employees
- Manage and process unemployment claims and work compensation claims
- Coordinate and assist with the ACA and ERISA benefits reporting requirements
Performance Management & Development
- Coordinate and support the organization's annual performance review cycle; train managers on the process and tools
- Identify professional development needs across the organization; assist in sourcing and coordinating learning opportunities
- Support the VP of People and Culture in designing and delivering manager development initiatives focused on soft skills, supervision best practices, and team effectiveness
- Contribute to the development and maintenance of career pathway frameworks within Concordia
HR Operations & Compliance
- Maintain accurate and confidential employee records in the HRIS and SharePoint; ensure data integrity across all people systems
- Assist in maintaining and updating the Personnel Manual, job descriptions, and organizational charts
- Provide day-to-day support to employees and managers on HR matters including, but not limited to, recruitment, training, benefits, employee relations, and performance management
- Assist Vice President of People and Culture with HR related projects and initiatives
- Lead affirmative action program; file EEO-1 report annually; maintain appropriate records, reports and logs to conform to EEO regulations
- Performs HR statistical analysis and prepares reports and communicates data and trends to the Vice President of People and Culture.
- Maintains the integrity and confidentiality of human resource files and records.
- Perform other duties as assigned
Experience and Skills
- Bachelor's degree in Human Resources, Business Administration, Organizational Development, or related field required
- Minimum 5 years of HR experience in a generalist capacity; nonprofit, social services, or education experience preferred
- Bi-lingual Spanish speaker is a plus
- SHRM-CP, PHR, or equivalent credential strongly preferred
- Experience with Paylocity HRIS software is a plus
- Strong knowledge of federal and Illinois employment law and HR best practices
- Competencies include communication, critical evaluation, ethical practice, confidentiality and HR expertise
- High level of efficiency with Microsoft Office required (ex: Outlook, Word, Excel)
- Onsite work is required. This person interacts with employees, new hires, and Concordia program leaders that require in-person meetings and onsite visibility.
Salary, Perks and Benefits
- Salary Range: $75,000 - $85,000 annually
