Responsibilities
At Shawmut, our People Strategies team is focused on creating an exceptional employee experience from the moment someone joins our company through every stage of their career. We are looking for a highly organized, customer-focused People Strategies Coordinator to join our collaborative team and support a wide range of human resources initiatives across the employee lifecycle.
This role is part of a centralized coordination team that partners closely with managers and People Strategies team members to provide exceptional administrative support across talent acquisition, onboarding, HR operations, employee records, and compliance. The ideal candidate thrives in a fast-paced environment, enjoys balancing multiple priorities, and is passionate about delivering outstanding service to employees and internal stakeholders.
What You'll Do
- Partner with the Recruiting team to coordinate interviews, prepare offer and onboarding documentation, and ensure a seamless new hire experience.
- Coordinate all aspects of employee onboarding and support offboarding activities while ensuring compliance with company policies and legal requirements.
- Maintain accurate employee data and personnel records within Workday and other HR systems while ensuring confidentiality and data integrity.
- Process employee transactions including hires, transfers, promotions, organizational changes, and terminations.
- Monitor employee leave of absence (FMLA and other leave programs), partnering with managers to ensure accurate documentation and approved statuses within HR systems.
- Support employee benefits administration, including benefit enrollments, qualifying life events, and employee inquiries.
- Monitor and track required training, certifications, compliance programs, and performance management activities.
- Verify, process, and reconcile invoices from vendors supporting the People Strategies function.
- Perform regular data audits and quality control to ensure HR records remain accurate, complete, and compliant.
- Respond to employee questions regarding HR policies, procedures, and programs while providing excellent customer service.
- Assist with reporting, HR metrics, audits, and special projects that support continuous improvement across the People Strategies team.
- Support additional HR initiatives and projects as the department continues to grow.
Qualifications
- 1–2 years of Human Resources administration experience required, including internships or HR co-op experience.
- Bachelor's degree in Human Resources, Business Administration, or a related field required.
- Experience using Workday HRIS is strongly preferred; experience processing employee transactions in Workday is highly desirable.
- Experience with HRIS systems, employee record management, and maintaining confidential information.
- Strong attention to detail with excellent organizational and follow-through skills.
- Ability to manage multiple priorities while maintaining accuracy in a fast-paced environment.
- Excellent written and verbal communication skills with the ability to build relationships across all levels of the organization.
- Strong customer service mindset with a positive, collaborative, and proactive approach.
- Proficiency with Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Ability to exercise sound judgment and maintain confidentiality with sensitive employee information.
- Self-starter with a strong sense of ownership and the ability to work both independently and as part of a collaborative team.
Preferred Qualifications
- Experience supporting employee onboarding.
- Experience working in a fast-paced, multi-state organization.
- Familiarity with employment laws, HR compliance, and best practices.
- Experience supporting recruiting coordination and interview scheduling.
- Workday Recruiting, HCM, Benefits, or Learning module experience is a plus.
