Job Description
We are seeking a professional, highly organized, and personable Front Desk Receptionist to serve as the premier face and voice of our corporate office. As our primary point of contact, you will do much more than manage the front desk—you will keep our daily operations moving efficiently, anchor our administrative workflow, and ensure every guest, applicant, and client receives an exceptional experience.
Key ResponsibilitiesFront Desk & Guest ServicesWelcoming Presence: Warmly greet and assist clients, job applicants, and vendors upon arrival.
Visitor Management: Expertly manage visitor sign-in procedures, issue guest badges, and maintain a pristine, professional reception area.
Communication Hub: Answer, screen, and intelligently route incoming phone calls while taking detailed messages for management and field supervisors.
Workflow Assistance: Coordinate and schedule interviews, appointments, and meetings.
Onboarding Support: Assist incoming applicants with new-hire paperwork and onboarding documentation.
Data & File Management: Maintain, organize, and update both physical and digital filing systems.
Correspondence: Draft, format, and distribute internal memos, emails, reports, and professional correspondence.
Inventory Control: Proactively monitor, track, and order office and kitchen supplies to prevent shortages.
Department Liaison: Assist the HR and payroll departments with secure document collection and internal tracking.
Confidentiality: Maintain absolute discretion and strictly safeguard sensitive client and employee information.
Language: Bilingual fluency in English and Spanish is REQUIRED. Must be fully capable of greeting visitors, answering phone calls, and assisting applicants with paperwork in both languages.
Education: High school diploma or GED required (Associate’s degree preferred).
Experience: Minimum 1 year of experience in a front desk, receptionist, or administrative assistant role.
Technical Skills: Proficiency in Google Workspace Applications and Microsoft Office Suite (Word, Excel, Outlook).
Soft Skills: Exceptional multitasking capabilities, top-tier customer service skills, and a high level of organizational clarity.
