Lead Clerk Hospital Patient Registration 6am-6pm Sun-Sat 788-14

Lead Clerk Hospital Patient Registration — Full time 40 hours a week
Day Shifts from 6:00 am to 6:00 am. Must be able to work shifts during the day, weekends, rotating holidays and nights if needed.

Reporting Relationship: Patient Registration Manager

General Summary of Responsibilities:

This person is responsible for the registration of all patients in the EHR system, as well as verification of insurance information and demographics; is responsible for handling all incoming and outgoing telephone calls that are routed through the PBX system on evenings and weekends, meet the communication needs of the patient/family, visitors, departmental staff and medical staff, making appointments with providers, keeping registration of all patients, collection of monies due from patients; copying/printing medical records, scanning documents, and filing charts. Additionally, this person may be asked to verify insurance coverage, and work hand in hand with patient financial services department to ensure that patient is properly educated in their financial responsibility and what the facility has available to assist in the patient’s financial needs. This person must be able to keep an accurate record of payments received and be able to provide patient financial services with the proper paperwork that reflects all related transactions, as well as maintain and balance cash drawer, this person must have outstanding customer service skills, often being the initial liaison between patients and our hospital staff, setting the tone for our patient’s experience. Performs other related duties as assigned or requested. Answering multi-line phones, greeting and directing visitors, sorting & distributing mail and any other general office tasks as assigned.

Essential Job Functions:

  • Schedule daily appointments with any and all clinic medical providers. Enter schedules into computer system. Direct telephone traffic coming into clinic. Answer telephone in a polite manner and communicate information appropriately following direction and expectations from BBGH and Practice Administrator.
  • Manages time well, demonstrates extreme organization. Demonstrates the ability to anticipate and prepare charts, medical records; as well as answer patient, family and provider requests.
  • Demonstrates the ability to communicate appropriately, politely and clearly to nurses, co-workers and medical providers. Takes accurate messages and pull appropriate charts for inquiries. Assigns tasks to the appropriate persons through electronic record.
  • Contribute to effective and guest relations by assisting patients, visitors and physicians to resolve expressed concerns and demonstrating a welcoming and helpful attitude.
  • Ensure demographics are correct when patients check in, making corrections immediately in computer system.
  • Daily collection of money for billing and/or co-pays according to facility standards, writing out receipts correctly, and completing required paperwork for the billing department. (This includes MVA, Work Compensation, or other liability insurance paperwork) Work closely with billing department.
  • Maintain and balance cash in the drawer to complete daily cash transactions.
  • Process credit card entry when patients pay bills or co-pays.
  • Copying medical records to other medical offices, lawyers, workman compensation carriers, insurance agencies, etc following Health Information policies and procedures for Release of Information.
  • File charts and information including lab, radiology and correspondence and dictation for both hospital owned and managed clinics.
  • Keep information confidential by adhering to the terms of personnel policy addressing HIPAA and confidentiality.
  • Assists with maintaining stock and order supplies when appropriate.
  • Faxes important clinical, patient health information and other miscellaneous documents in a timely and accurate manner.
  • Supports and participates in Service Excellence, Destination Excellence and TeamSTEPPS programming to ensure excellent quality and customer service.
  • Demonstrate a willingness to put the patient and customer first even if it means staying late or coming in early.
  • Demonstrate the ability to gather/file charts from varied levels and heights (ground floor to overhead).
  • Check insurance eligibility on line or by phone.
  • Scan all documents into the electronic health record.
  • Understands medical terminology or is able to research terminology to gain and understanding.
  • Understands standard insurance forms.
  • Able to perform basic mathematics and payment processing.
  • Ability to work any day of the week, including weekends and holidays as needed.
  • Ability to work day or night shift, as needed.
  • Ability to be available on an on-call basis, as needed.
  • Communicates appropriately and clearly to charge nurse, co-workers, and medical providers. Places long distance calls for providers and patients as needed.
  • Directs telephone traffic coming through the PBX system. Answers telephone in a polite manner and communicates information appropriately.
  • Contributes to effective guest relations by assisting patients, visitors and physicians to resolve expressed concerns and demonstrating a welcoming and helpful attitude.
  • Processes the daily census and any other registration reports required for patient accounts department, medical records and ancillary departments.
  • Prepares and compiles medical records for patients in the unit of assignment.
  • Obtains appropriate nursing staff to assist patients/physicians in the care of the patient.
  • Transcribes physician orders. Enters and verifies orders in the computer system. Maintains current "on-call" list of pagers, providers, and ancillary departments.
  • Demonstrates ability to be flexible, organized and function under stressful situations.
  • Understands the importance of proper patient registration and how it affects the revenue cycle of the hospital and clinic, and has the ability to make corrections to improperly registered patients.
  • Responsible for reviewing with patient any application financial assistance needs they may have and directing them to the financial counselor as needed.
  • Provides patient education regarding insurance benefits and payment obligation.
  • Inputs demographic information into the computer, issues appropriate identification bands and face sheets. Obtains appropriate signatures for medical and financial treatment authorization.

  • Good computer skills including use of Outlook, Chrome, Word and Excel.
  • Ability to remain calm and professional, even in emergency situations.
  • Ability to understand medical terminology and standard insurance forms.
  • Help manager with schedules, evaluations, competency checklists, and chart audits, interviewing new candidates
  • Super user for Meditech and Change Healthcare
  • Manage referrals
  • Will be the department’s contact person if manager is not available
  • May attend any meetings and training that manager is unable to attend
  • Work closely with Multi Specialty Clinic nurses, and provider’s main clinic staff, to help coordinate the Specialty Clinic provider’s clinic schedules and other duties as needed
  • Maintain the Employee Admissions Binder
  • Help train new employees at Main Admissions
  • Regular admissions duties, including scheduling specialty clinic appointments, and checking in patients for supporting departments such as lab, radiology, surgery, patient care unit, wound care, infusion, diabetic education, and dialysis.
  • Is part of the Emergency Department rotation for holidays and weekends.

  • Contributes to the prevention of infectious disease among employees and patients by adhering to infection control policies and procedures.

Job Qualifications:
