Engagement Type: Temporary, W2, with possible conversion to a permanent, full-time Operations Associate role at the end of the term
Engagement Length: 3 months, with the option to extend or convert to permanent based on performance and business need
Compensation: $72,500/yr
Location: Fully Remote
Reports To: Senior Director of Operations
Position Overview
Indagare is hiring a Temporary Operations Associate for an initial three-month term, with a strong possibility of conversion to a permanent, full-time role based on performance and business need. This person's primary focus will be our Finance x Operations initiative – a cross-functional effort to modernize and tighten up several of our core operational and financial processes – working under the direct oversight of the Senior Director of Operations. As capacity allows, this role will also grow into supporting partner and supplier-facing communications as well as cross-functional projects with other internal departments.
We're looking for someone with excellent project management instincts and the confidence and polish to work directly with, and manage up to, senior leadership. This person should be comfortable driving initiatives forward independently, keeping multiple workstreams and stakeholders organized, and pushing projects to completion – someone who can genuinely move the needle for the business.
What You'll Do — Finance x Operations Project (Primary Focus)
Working closely with the Senior Director of Operations and in coordination with Finance leadership, this role will drive the following workstreams:
Vendor & Contractor Expense Tracking
Refine and roll out a new process for tracking vendor and contractor expenses, including intake, approval, and reconciliation steps.
Document the process and train relevant stakeholders on the new workflow.
Accounts Receivable & Collections
Clean up the existing AR and collections process end to end.
Define and finalize a clear write-off policy and an aging/escalation process for outstanding receivables.
Documentation Sprint
Partner with Finance and Operations leadership on a focused sprint to launch a streamlined SOP architecture and documentation system.
Help structure, write, and organize SOPs so they are consistent, easy to find, and easy to maintain going forward.
Expense Report Process Review
Review the current expense report process following its recent update.
Identify and recommend any further refinements needed for accuracy, compliance, and ease of use.
Salesforce / NetSuite Integration
- Work with Tech and Finance leadership to project-manage the Salesforce/NetSuite integration fix through to completion.
- Track open issues, coordinate across stakeholders, and keep the initiative moving toward the finish line.
- Cross-Departmental Accountability
- Ensure meeting notes and action items are distributed promptly and clearly across all workstreams.
- Track deadlines and proactively hold team members accountable to their commitments.
End-of-Year Sentiment & Impact Review
Conduct a retrospective/sentiment review at the end of the engagement (or calendar year) to assess what was accomplished.
Measure and summarize impact against relevant KPIs, and capture lessons learned for future process work.
What You'll Do — Supplier & Cross-Functional Support (Growth Area)
As the Finance x Operations project progresses and bandwidth allows, this role will expand to include:
- Serving as a point of contact liaising with suppliers on behalf of Operations, coordinating communications and following up on open items.
- Supporting cross-functional projects with other internal departments beyond Finance and Operations, as priorities arise.
- Taking on additional operations projects and initiatives as assigned, based on demonstrated capacity and performance.
What You'll Bring
- Exceptional project management skills — the ability to organize multiple concurrent workstreams, track details, and reliably drive projects to completion.
- Confidence and polish working with, and managing up to, senior leadership; comfortable pushing timelines and holding stakeholders accountable.
- A proactive, ownership-oriented mindset — someone who identifies what needs to happen next and moves it forward without waiting to be asked.
- Strong written and verbal communication skills, particularly for documentation, process write-ups, and stakeholder updates.
- Comfort working across ambiguity and shifting priorities as the role grows from a defined project into broader cross-functional support.
- 1–3+ years of relevant work experience in operations, project management, finance, or a related field; Bachelor's degree preferred.
- Familiarity with financial processes (AR/collections, expense management, vendor/contractor payments) and tools like Salesforce or NetSuite is a plus, but not required — we're prioritizing project management and leadership-facing skills over specific tool expertise.
Engagement Details
- This is a temporary, W2 role, not initially benefits-eligible, unless and until converted to permanent employment.
- Primary focus for the engagement is the Finance x Operations project described above, with growing scope into supplier liaison and cross-departmental project work as capacity allows.
- Performance and fit will be evaluated on an ongoing basis, with a formal check-in near the end of the term to discuss extension, conversion to a permanent Operations Associate role, or conclusion of the engagement.
