Job Description

Position Overview: The Talent & Culture Coordinator is an integral part of the Talent team. The Talent & Culture Coordinator is responsible for end-to-end operational support for the employee lifecycle, from recruitment and branding to continuous development and engagement. This role serves as the tactical engine behind the VP of Talent Management, VP Corporate Innovation & Brand Experience, and SVP Culture & Leadership Development

What You Will Do:

Talent Acquisition & Onboarding

  • Job Creation Support: Ensure all active positions have a job description and ensure all employees have a role acknowledgement event complete.
  • Recruitment Support: Manage the end-to-end recruitment lifecycle, including posting jobs, representing Vibrant at career fairs/events, act as a liaison with local colleges to build recruiting relations, conducting culture-based phone/virtual interviews, scheduling interviews, conducting background checks, and managing the onboarding/new hire data and pre-orientation process.
  • Orientation & Integration: Ensure all operational aspects of orientation are coordinated and executed to ensure shared experience for all new hires.
  • Market Research: Assist with applicable market research related to Talent Acquisition, employer branding, employee engagement, and organizational development.
  • Onboarding Tracking: Oversee the 90-day onboarding plan, ensuring milestones are met and providing follow-up to accelerate new hire integration. This includes launching 30-, 60-, and 90-day surveys, managing data entry of results, and assisting in compiling feedback for leadership review.
  • Compliance: Act as a subject matter expert for Talent Acquisition related compliance (i.e. job ad posting requirements and interview requirements).
  • System maintenance: Serve as a tactical expert for Talent Management Systems related to recruitment, orientation, and onboarding.
  • Ticket System Triage: Triage and actively respond to tickets related to recruitment, orientation, and onboarding, escalating to leadership as needed.

Engagement & Employer Brand

  • Survey Administration: Deploy employee surveys, track response rates, manage data entry of results, and assist in compiling feedback for leadership review.
  • Employee Recognition: Deploy and manage employee acknowledgement events and recognition programs to foster a high-performance culture.
  • Brand Campaigns: Assist the VP Corporate Innovation & Brand Experience in the deployment of internal and external brand campaigns, including social media recruiting and internal newsletters.
  • Employee Events: Assist the VP Corporate Innovation & Brand Experience with employee events.
  • Market Research: Assist with applicable market research related to employer branding and employee engagement.
  • System maintenance: Serve as a tactical expert for Talent Management Systems related to employer brand and employee engagement.
  • Ticket System Triage: Triage and actively respond to tickets related to employer brand and employee engagement, escalating to leadership as needed.

Organization Development & Training

  • L&D Administration: Update and maintain annual training platform assignments/resets and coordinate training sessions or seminars.
  • Employee development: Assist with the administration and coordination of employee development plans including tracking documentation and follow-up support. Compile applicable data for leadership review.
  • System Maintenance: Serve as a tactical expert for Talent Management Systems related to organizational development.
  • Ticket System Triage: Triage and actively respond to tickets related to organizational development and training, escalating to leadership as needed.

Talent Operations:

  • Data Integrity: Manage employee status changes related to personnel movement and maintain accurate electronic and physical employee records.
  • Payroll administration: Act as a back-up for payroll administration as needed
  • Ticket System Triage: Act as a back-up for ticket system triage support related to Talent operations.
  • Emergency Readiness: Effectively administers Vibrant’s Emergency Readiness program to include first aid audits, emergency preparedness updates, etc.
  • Ad hoc: Assist with ad hoc projects/requests as needed

  • Experience: Bachelor's degree in Human Resources, Business, or a related field — or 1–3 years of experience in an HR Coordinator or Administrative role. Exposure to recruitment or training systems is a plus.
  • Technical Skills: Proficiency in HRIS systems, design software, and MS Office.
  • Soft Skills: Strong organizational skills, attention to detail, and the ability to handle confidential information with discretion.
