Job Description

Who we are

Xodus Travel Services Inc. was established with a clear mission: to tackle and resolve the limitations within the Canadian travel insurance industry that became glaringly apparent during and in the aftermath of the global pandemic. Recognizing the unprecedented challenges faced by travelers and the insurance sector alike, Xodus is committed to revolutionizing the landscape of travel insurance, ensuring Canadians have access to comprehensive and responsive coverage in an ever-evolving world. Be a part of the solution.

About the role

The Fin-Ops Specialist owns the movement of money out of the organization once claim decisions have been made. The role sits within Finance and works closely with Claims, taking approved payments through batching and release, managing the vendor payment relationships that support them, and keeping the trust accounts funded and reconciled. It exists because payment execution and treasury work had been bundled with claims adjudication support in a single position, and the two require different skills and different reporting lines. This is the finance side of that separation.

What you'll do

  • Run weekly payment batches, member and vendor payments, along with ad-hoc, recovery, and manual adjustment batches as they come up.
  • Manage the vendor payment relationship end to end, reviewing and approving that information, handling payments across multiple currencies and methods, processing cheque and document requests, managing changes to payment methods, and fielding vendor inquiries when something doesn't land as expected.
  • Reconcile across our banking, claims, and vendor platforms, review trust fund positions, participate in weekly cash calls, and prepare funding transfers to keep the accounts funded ahead of disbursement.
  • Monitor banking portals and internal payment systems for failed or rejected payments and follow up on what they turn up — proof-of-payment research, payment tracing, and stop-payment requests.

The skills you bring

  • You're a strong problem solver. When a payment fails or a reconciliation doesn't tie out, you work it through to a resolution rather than logging it and moving on.
  • You plan and prioritize well. This role runs on cycles, and you can hold the recurring work together alongside whatever comes up in between, managing your own timelines and flagging early when something is at risk.
  • You communicate clearly and directly with vendors and internal teams, including when something has gone wrong.
  • You're comfortable with data and spreadsheet, and comfortable working in a CRM.

What’s in it for you

  • Competitive salary, health, and dental benefits
  • Flexible work hours
  • Career learning and development support
  • A supportive and collaborative work environment

What's important to us

  • Looking around corners: We want people who can anticipate challenges and opportunities, act with a sense of urgency, and take ownership of their work and outcomes.
  • Creative problem solving: We want people who can think outside the box, generate novel ideas, and find effective solutions to complex and dynamic problems.
  • Understand and exceed client and consumer expectations: We want people who can listen to and empathize with our clients and consumers, deliver high-quality products and services, and seek continuous feedback and improvement.
  • Be a team player: We want people who can collaborate and communicate well with others, respect diversity and inclusion, and contribute to a positive and supportive work environment.
