We are currently looking for a part-time Housing Operations Coordinator. The Housing Operations Coordinator oversees housing operations and occasional residence life programs for students living in university leased, apartment style housing. This position reports to the Director of Student Services and supports departmental operations by focusing on student housing operational efficiency, planning, and facilities management for the housing program. The Coordinator manages housing operations and participates in administrative decision-making, leadership of the housing operation, and strategic planning ensuring that University housing adequately meets the needs of the student residents. Responsible for areas that include but are not limited to: administration of student housing contracts and departmental policies, participates in adjudication of judicial cases when needed, provides oversight of publications related to student housing, and leads or participates in residence life programs, when applicable.
This position will be 5 hours per day Monday-Friday with occasional evenings and weekends as needed. Exact start and end times each day are negotiable.
Responsibilities of the position include:
- Manages the housing inventory and makes adjustments, with input from the Director of Student Services or Vice President, when additional units are needed
- Monitors the occupancy rate of student housing and makes adjustments to housing inventory levels to ensure maximum efficiency of operations.
- Ensures that rent invoices and any other charges associated with housing are submitted for payment in a timely manner.
- Manages the coordination of room assignments (preparing keys, consolidation, checkouts, room changes, room condition reports, break housing, etc.)
- Manages all Housing leases and other documents through PandaDoc.
- Conducts quarterly housing inspections to ensure compliance with university housing policies.
- Manages all lockout and key inventories.
- Coordinates residence hall move-ins and closedowns.
- Work with Student Success on student retention initiatives as needed.
- Assist the Student Life Coordinator to provide residence life programming when applicable.
- Works alongside the Director of Student Services or Vice President to continuously revise, update, and facilitate the Housing and Residence Life Strategic Plan.
- Maintains quarterly housing metrics used for making operational decisions and for use in departmental assessment activities.
- Responds to student and parent concerns; refers unresolved cases to appropriate personnel.
- Collaborates with other departments (Information Technology, Admissions, Financial Aid, Career Services, Wellness, Student Life, etc.) in order to holistically develop and meet the needs of the housing students.
- Assists with graduation and new student orientation as needed.
- Performs other duties as assigned.
- Bachelor’s degree required in related field with relevant work experience (preferred).
- A minimum of two years plus professional housing and/or residence life experience preferred.
- An equivalent combination of education and work experience may be considered.
- Candidates should possess evidence of excellent communication and conflict resolution skills.
- Willingness to take emergency phone calls 24/7 and respond as necessary.
- Must be capable of handling multiple tasks and capable of managing and working with a diverse group of individuals.
- Should be an effective communicator possessing the ability to be sensitive to the needs of students, parents, and staff.
- Must possess and exhibit a positive attitude; must be flexible and understand the principles of a team environment.
- Must be able to navigate stairs to access each floor in the apartment complex(es).
- Must be able to push, pull, and lift up to 25 pounds.
- Must be able to work on multiple tasks at one time.
- Must be able to operate computers and other office equipment.
- Must be able to maintain calm demeanor and sound mind when responding to emergency situations.
- Must be able to accommodate a flexible schedule to include nights and/or occasional weekends as required.
- Must be able to sit and/or stand for extended periods of time.
- Must be able to hear and speak well enough to communicate with students, faculty, and staff face-to-face, by telephone, or using Teams.
