Job Title:
Receiving Clerk

Summary:

The Receiving Clerk is responsible for coordinating the receipt, inventory management, and movement of assigned raw materials to support uninterrupted production operations. This position maintains inventory accuracy, coordinates with vendors and carriers, processes transactions within company systems, and ensures material availability through effective scheduling and communication. The Receiving Clerk works closely with Purchasing, Production, Finance, laboratory personnel, and external suppliers to support operational efficiency and maintain accurate inventory records throughout the manufacturing process.

Essential Duties & Responsibilities:

  • Coordinate the receipt, testing, storage, and movement of assigned raw materials to support production requirements.
  • Monitor inventory levels, material usage trends, and forecasted demand; communicate ordering needs, shortages, delays, and inventory concerns to Purchasing and supervision.
  • Coordinate deliveries, unloading schedules, vendor communications, and related activities to ensure uninterrupted material availability.
  • Process inventory transactions and maintain accurate inventory records within Oracle ERP, MES, and related systems.
  • Perform cycle counts, physical inventories, stock audits, and inventory reconciliations to ensure inventory accuracy.
  • Maintain accurate documentation and records related to receiving, inventory, shipments, testing, and material movements.
  • Coordinate with vendors, carriers, laboratory personnel, maintenance teams, and internal departments to support operational requirements.
  • Identify, investigate, and communicate inventory discrepancies, material shortages, and operational concerns.
  • Utilize approved business communication applications, including WhatsApp, as required for operational and vendor communications.
  • Perform other duties as assigned.
  • Education & Experience:
  • High school diploma or GED required.
  • Experience in receiving, inventory control, warehouse operations, logistics, manufacturing support, or a related field preferred.
  • Experience working within Oracle ERP, MES, or similar inventory management systems is preferred.
  • Manufacturing experience is preferred.

Knowledge, Skills & Abilities:

  • Ability to understand, follow, and execute established receiving, inventory, and material handling processes.
  • Strong communication, organizational, and interpersonal skills with the ability to effectively interact with vendors, carriers, Purchasing, Finance, Production personnel, and coworkers.
  • Intermediate Microsoft Excel proficiency, including the ability to work within existing spreadsheets and reporting tools, understand data flow, identify errors or discrepancies, maintain file accuracy, and make routine updates as business needs require.
  • Experience working with formulas, filters, sorting, pivot tables, lookups, and other data management functions preferred.
  • Proficient in Microsoft Office 365 applications, including Outlook, Excel, Word, and Teams.
  • Ability to maintain accurate records and manage multiple priorities in a fast-paced manufacturing environment.
  • Inventory management experience preferred.
  • Production scheduling, logistics, material planning, or supply chain experience preferred.
  • Basic understanding of trucking, transportation, shipping, and receiving operations preferred.
  • Ability to work independently while maintaining a high level of attention to detail.

Physical Requirements:

  • Must be able to sit, stand, walk, bend, stoop, squat, reach, and perform other physical movements throughout the workday.
  • Bend/reach/twist/stoop
  • Ability to lift to 75+ lbs.

Work Environment:

  • Regular work schedule is Monday through Friday, 7:00 a.m. to 3:00 p.m.
  • Must be willing to work weekends, holidays, and extended hours as business needs require.
  • Must be able to work in indoor and outdoor environments and tolerate varying temperatures, including heat and cold.
  • May be required to lift and move materials in accordance with company safety guidelines.
  • Must adhere to all company safety policies and procedures while performing job duties
