Job Description
Position Summary
The Menu Operations Assistant supports the successful launch and ongoing operation of new and existing products by coordinating product materials, inventory orders, promotional materials, and import-related activities.
This position works closely with the Operations, R&D, Logistics, Procurement, manufacturing facilities, and Korea Headquarters teams to ensure that all required materials are ordered, shipped, and delivered to stores across the West, Central, and East regions on time.
The primary responsibility of this role is to monitor the entire ordering and distribution process, identify potential issues, and help ensu re uninterrupted product execution at the store level.
Key Responsibilities
Product Code and System Management
- Create and maintain product, ingredient, packaging, and promotional material codes in SAP and GFIMS.
- Ensure that all required item codes are created accurately and completed before product launches and order placement.
- Review and maintain product master data, including item descriptions, units of measure, pricing, vendor information, and regional availability.
- Monitor code activation and system availability to ensure that regional warehouses and stores can place and process orders without delays.
- Troubleshoot code-related issues and follow up with the appropriate teams to prevent disruptions to ordering, distribution, or store operations.
- Maintain accurate records of newly created, updated, and discontinued item codes.
Product Material Ordering and Distribution
- Coordinate orders for ingredients, packaging, and other materials required for product launches and ongoing product operations.
- Place material orders with the appropriate logistics teams for the West, Central, and East regions.
- Ensure that order quantities and delivery schedules are properly aligned by region and store.
- Track order status, shipment progress, warehouse allocation, and store delivery.
- Monitor outbound shipment data and proactively identify potential shortages or delays.
- Follow up with relevant teams to resolve ordering, inventory, or delivery issues that may affect store operations.
Product Forecasting and Inventory Planning
- Work closely with Product Planning team members to develop product sales projections and determine required material quantities.
- Collect and review store counts, regional allocation plans, inventory levels, loading information, lead times, and delivery schedules.
- Translate approved projections into regional warehouse orders.
- Monitor actual shipments and inventory usage against projections and provide timely updates to the Product Planning team.
- Support adjustments to order quantities and allocation plans based on sales performance, inventory status, and operational needs.
Import and Korea Headquarters Coordination
- Work closely with Korea Headquarters on imported products, ingredients, packaging materials, and other product-related items.
- Communicate key information, including production schedules, loading plans, shipment quantities, arrival schedules, and regional allocation requirements.
- Help ensure that imported materials arrive in time to support product launch schedules across all three regions.
- Coordinate with internal teams and Korea Headquarters to address potential production, shipping, customs, or delivery delays.
- Maintain accurate records of import schedules, order quantities, and shipment status.
Manufacturing Facility Coordination
- Coordinate with manufacturing facilities regarding production quantities, schedules, inventory availability, and delivery requirements.
- Place and track orders for factory-produced ingredients, packaging, and finished or semi-finished products.
- Communicate projections and regional allocation requirements to the relevant manufacturing teams.
- Monitor production and shipment status to ensure materials are available before product launch dates.
- Escalate potential production or supply issues to the Product Planning team and other relevant stakeholders.
Promotional Material Support
- Coordinate the ordering and distribution of promotional materials required for product launches and marketing campaigns.
- Track the production, shipment, and store delivery of posters, menu materials, shelf liners, and other point-of-sale materials.
- Confirm regional and store-level quantities and ensure that promotional materials arrive before the scheduled launch date.
- Work with Marketing, Operations, vendors, and logistics teams to resolve production or delivery issues.
Cross-Functional Operations Support
- Provide general operational support for product launches and ongoing product programs.
- Collaborate with Operations, R&D, Logistics, Procurement, Risk Management, Korea Headquarters, and manufacturing facilities.
- Maintain clear and timely communication among cross-functional teams.
- Organize and maintain order records, shipment data, inventory trackers, projections, and delivery schedules.
- Prepare regular status updates and immediately escalate issues that may affect product availability or store execution.
- Support additional operational projects and administrative responsibilities as assigned.
Qualifications
- Advanced proficiency in Microsoft Excel is required, including PivotTables, XLOOKUP/VLOOKUP, complex formulas, data validation, and large data-set management.
- Strong ability to collect, organize, analyze, and interpret operational, inventory, order, and shipment data.
- Ability to identify data discrepancies, monitor trends, and prepare accurate tracking reports.
- Strong organizational skills and exceptional attention to detail.
- Ability to manage multiple orders, timelines, and product launches simultaneously.
- Strong follow-up skills and the ability to manage projects from order placement through final store delivery.
- Effective written and verbal communication skills.
- Ability to collaborate effectively with multiple departments, regional teams, manufacturing facilities, and external partners.
- Previous experience using ERP or inventory management systems is preferred.
- Experience with SAP is strongly preferred.
- Korean and English bilingual proficiency is strongly preferred due to frequent communication with Korea Headquarters and manufacturing facilities.
