Program Quality Assistant

Sasha Bruce Youthwork is one of the largest and most experienced providers of services to youth in Washington, DC. Our mission is to improve the lives of runaway, homeless, abused, neglected, and/or at-risk youth and their families in the Washington, DC area. We achieve this by providing shelter, counseling, life skills training, and positive youth development activities to approximately 1,500 youth and 5,000 family members each year. Job Summary

Under the direction of the Chief of Programs, the Program Quality Assistant will support programmatic quality assurance, compliance monitoring, and data functions across Sasha Bruce Youthwork’s programs. This is a support role designed to assist in maintaining program standards, ensuring youth files are accurate and complete, and contributing to the overall quality of SBY’s programs.

Duties and Responsibilities
  • Assist with onboarding new managers at the direction of the Chief of Programs, this includes spending significant time in program as the manager becomes familiar with program operations, and SBY expectations.
  • Conduct routine reviews of youth client files to ensure documentation is complete, accurate, and up to date in accordance with SBY standards and funder requirements; youth files may be physical files or virtual;
  • Flag missing, incomplete, or inconsistent documentation and communicate findings to the Programs team for follow-up;
  • Assist program staff in understanding documentation requirements and correcting file deficiencies in a timely manner;
  • Maintain a tracking log of file review findings and resolution status across all assigned programs;
  • Support the Program Support Manager in preparing programs for licensure reviews and external audits by gathering required documentation, checklists, and compliance materials;
  • Assist with organizing and maintaining licensure binders, records, and digital files to ensure readiness for scheduled and unannounced inspections;
  • Research regulatory requirements and licensing standards as needed and relevant, and summarize findings for program staff;
  • Ensure regular compliance with standards throughout the program year;
  • Complete small-scale data collection and analysis tasks as assigned, including reviewing program outcome data;
  • Support the preparation of basic reports and data summaries to communicate quality outcomes to the Program Support Manager and Chief of Programs;
  • Assist in identifying data trends or discrepancies that may indicate areas for programmatic improvement;
  • Review completed supervision documentation across programs to verify timely completion and adherence to SBY’s supervision policies;
  • Maintain a tracking log of supervision completion rates and surface gaps or patterns;
  • Assist in developing or updating supervision tracking tools and templates as needed;
  • Assist with documenting quality assurance activities and preparing summaries of findings;
  • Participate in site visits to program locations as directed to observe operations and support quality monitoring activities;
  • Other duties as assigned.
Qualifications
  • High school diploma or GED required; Associate’s or Bachelor’s degree in Human Services, Public Administration, Social Work, or a related field preferred;
  • Prior experience in youth-serving organizations, government programs, or social services a plus;
  • Strong attention to detail and organizational skills, with the ability to manage multiple tasks simultaneously;
  • Basic proficiency in data entry and Microsoft Office Suite (Word, Excel); experience with HMIS is a plus;
  • Excellent written and verbal communication skills;
  • Ability to work collaboratively with program staff at all levels and communicate feedback constructively;
