BACKGROUND:

Founded in 1994 by a group of experienced certification and testing experts, QAI Laboratories Ltd. (QAI) is a multi-national professional certification body, test laboratory, and inspection agency with offices throughout North America and Asia. Recognition of the QAI name and logo have grown significantly over the past few years resulting in significant expansion of the business.

As the company’s Recruiter & HR Coordinator you will be an energetic, detail-oriented, and adaptable individual with a go-getter attitude to support the company’s continuous growth. You are also someone with 1-2 years of progressive recruitment related experience and general HR experience and knowledge.

The role will generally facilitate programs primarily in the areas of recruitment, interview coordination, HR communication, HR administrative tasks, and other duties that will be assigned as necessary.

DUTIES: Under the guidance of the HR Specialist, the successful candidate will perform, but not be limited to, the following duties:

Recruitment:

  • Assist in writing and posting job descriptions on career websites or university/college job boards, research career fairs in the local area related to each position and keep the company career page and internal communications up to date.
  • Actively source candidates through LinkedIn and other websites, internal job referrals, job fairs, networking activities, and other forms of recruitment.
  • Evaluate and screen resumes, cover letters, certificates, etc.
  • Provide shortlist of qualified candidates to HR Specialist.
  • Conduct initial phone or virtual interviews and coordinate in person interviews with hiring managers.
  • Understand and articulate QAI’s values and the benefits of working for the organization.
  • Conduct reference/character checks and organize personality assessments.
  • Prepare new hire paperwork ensuring legislation requirements are met.
  • Contact new employee and coordinate onboarding sessions with HR Specialist and Quality Manager.
  • Attend job fairs and careers events.
  • Keep track of progress with all of QAI’s recruitment activities.
  • Stay up to date with current recruitment methods and best practices.
  • Determine the effectiveness and success of current recruiting plans/strategies and provide feedback for improvement

HR Coordinator:

  • Acts as the first point of contact on HR related inquiries.
  • Maintain personnel-related records (onboarding, payroll, personal information, leaves, turnover rates etc.) via the HRIS (ADP) and ensure all employment documentation requirements are met.
  • Assist in the development of HR documentation and processes to support organizational employee needs and other HR activity/program as required.
  • Liaise with other departments (payroll, benefits etc.) to ensure process compliance.
  • Assist Managers/Supervisors in performance management procedures and other HR related concerns.
  • Assist Managers/Supervisors with maintaining their employee’s development roadmap.
  • Assist in ad-hoc HR projects (i.e., developing training content).
  • Provide reception support and other general admin when needed/requested by the Controller.
  • Support other functions as assigned.

QUALIFICATIONS: The successful candidate will have:

Minimum:

  • HR Certificate or other business-related program with emphasis in HR or recruitment.
  • 1-2 years of experience in recruitment or similar role.
  • Strong sourcing/networking and lead generation skills to locate candidates with difficult to find skillsets in local and other markets (currently North America wide).
  • Hands on experience with various selection processes like phone interviews and reference checks.
  • Great interpersonal, communication, and problem-solving skills.
  • Ability to scan large volumes of resumes and identify relevant skillsets.
  • Good team player with a can-do attitude.
  • Strong management/organizational skills with the ability to prioritize and complete projects on time.
  • Knowledge of HR legislation and best practices.

Preferred:

  • Familiarity with recruitment marketing strategies.
  • Familiarity with social media, especially LinkedIn, Indeed and ZipRecuiter.
  • Familiarity with applicant tracking systems and candidate management systems.
  • Familiarity with HRIS (ADP Workforce).
  • Experience working with US and Canadian employment regulations.
  • Experience with recruitment in both Canada and US.
  • Experience in employer branding methods.

Key Technical Competence:

  • Knowledge of human resources best practices.
  • Able to analyze data and produce reports summarizing personnel requirements.
  • Able to write clearly, concisely, and precisely to properly support documentation.
  • Capable of using Microsoft Office tools and ability to learn other systems/programs.
  • Seeks assistance and knowledge from subject matter experts when a specific requirement is outside of their general scope of knowledge.
  • Able to manage and prioritize multiple projects with some degree of efficiency and accuracy.
  • Ability to take initiative and work with minimal supervision.
  • Ability to maintain and preserve strict confidentiality.
  • Maintain a sense of ownership and responsibility.

The successful candidate will progress, subject to satisfactory performance, through a 3-month probation and training period.
