About This Position

About the Role:


The Refugee Resettlement Case Aide provides essential office and operational support to the Refugee Resettlement Services team, including Case Managers, Program Managers, and other staff. Under the direction of the Program Manager or a supervisor, this role involves preparing case files and client documentation, coordinating client scheduling, managing data entry, and assisting with various day-to-day administrative tasks. The Case Aide will ensure compliance with all guidelines and requirements established by the Office of Refugee Resettlement (ORR/MORI) and the U.S. Conference of Catholic Bishops’ Migration and Refugee Services (USCCB/MRS).

Qualifications:

  • High School diploma or Associate's degree in human/social services, administrative support, or a related field; relevant work experience may also be considered.
  • Bilingual proficiency in Haitian Creole, Spanish, or French is highly desirable.
  • Experience in office support or operational roles, ideally in a human services or nonprofit environment.
  • Strong organizational and multitasking skills, with close attention to detail and data accuracy.
  • Proficiency in MS Office Suite (Word, Excel, Outlook) and experience with database management; familiarity with cloud-based tools is a plus.
  • Ability to maintain professionalism and confidentiality when handling sensitive client information.
  • Strong communication skills to support effective team collaboration.
  • Reliable transportation and a valid U.S. driver’s license for occasional local travel, if needed.

Responsibilities:

  • Assist in creating, organizing, and maintaining client case files (both electronic and physical) in compliance with security standards.
  • Schedule and coordinate client appointments, including intakes, while managing team calendars to optimize resources.
  • Support the team in marinating clients’ information up to date, ensuring data integrity and reliability.
  • Prepare and organize materials for client intakes, orientations, and workshops, ensuring that all documentation is well-maintained, accessible, and up to date.
  • Research and compile local resources relevant to client needs (housing, healthcare, education, employment, etc.) and organize these resources in the agency’s internal directory.
  • Provide support on special projects and tasks to advance MRRP operational goals.
  • Meet regularly with the supervisor to support professional development and skill enhancement.
  • Perform administrative and clerical tasks as needed to support efficient office operations.
  • Work is primarily office-based, requiring extended periods of sitting or standing and regular use of phones, computers, and other office equipment.
  • Uphold the mission, vision, and values of the Catholic Charitable Bureau Archdiocese of Boston and Refugee and Immigration Services in all activities.
  • Maintain professional boundaries, ensuring the confidentiality and privacy of client information at all times.
  • Attendance at meetings and trainings
  • Local travel as needed.
  • Additional responsibilities as assigned.

Skills:

As a Case Aide, you will use your strong communication and interpersonal skills to build relationships with clients. You will also use your organizational and time management skills to maintain accurate client records and coordinate services. Your ability to work independently and as part of a team will be essential in providing high-quality services to clients. Fluency in English and Haitian Creole, Spanish, or French is highly desirable and will allow you to effectively communicate with clients.
