About This Position

Position Description: Primary Function: The Membership Intake Professional provides first-line response and desk receptionist services for the club. This position represents the first point of contact with members, parents, and visitors. It is important that all members, parents/guardians, donors, and visitors are greeted and made to feel welcomed upon entering our facilities. This position manages all stages of helping and registering students to enroll as members and is responsible to enter or update data into a computer system. The front desk clerk performs routine clerical and administrative work in answering telephones, providing customer assistance and data processing. Job Responsibilities:
  • Serves as Club receptionist. Greeting all members and visitors and maintaining attendance and visitor logs for all after school, vacation week, and summer programs.
  • Registers, and enters all information in the system and provides membership cards to members.,
  • Enforces individual members identification and guest visitation policies including verification of entry, which are organizational legal documents.
  • Transmit and receive all telephone calls, refer callers to other staff, and/or take messages when necessary.
  • Produces membership invoices/ takes payments and billing as needed.
  • Managing all outgoing messaging
  • Provide general information and answer inquiries about the Boys & Girls Clubs of Fitchburg and Leominster programs and activities.
  • Maintains electronic membership data tracking system and hard copy filing systems, (generate statistics as needed) making sure they are accurate and timely and facilitate retrieval of information.
  • Enter information into My Club Hub
  • Ensure all data remains secure and follows all safety measures.
  • Responsible for sign-in sheets
  • Responsible for sharing data with staff to facilitate data analysis.
  • Be alert to any situation or condition which requires the attention of a supervisor.
  • Responds quickly and effectively in emergency situations.
  • Maintain member confidentiality and protect operations by keeping information confidential.
  • Assume other duties as assigned.
Additional responsibilities:
  • Assist with the coordination of special events and emergencies.
  • Keeps front desk clean and organized.
  • Decorate Front Desk area (if applicable)
  • Updates/decorate bulletin boards in area (if applicable).
  • Maintains master schedule of Club activities and events, collecting and disseminating information to Club staff, volunteers, club members, and families as instructed.
  • Responsible for all membership ID and staff/volunteer badges
  • Prepares, distributes, and translates club fliers for distribution within the club and community as needed.
  • Acts as the club liaison as the person who organizes and troubleshoots transportation issues with the school department and various bus companies.
Required Qualifications/Skills:
  • High School Diploma is mandatory; college experience is preferred.
  • A minimum of one-year clerical and customer service experience
  • Ability to use common office equipment.
  • Working knowledge of Microsoft Office applications including Outlook, Word, Excel, Power Point and Publisher
  • Typing/keyboarding skills
  • Bilingual (Spanish or Portuguese is preferred for this position)
  • Strong written and verbal communication, and interpersonal skills
  • Highly motivated and dedicated to the organizational mission.
  • Strong organizational skills with the ability to work on multiple concurrent activities.
  • High degree of accuracy and attention to detail
Environment and Working Conditions:This role may use standard office equipment such as computers, phones, walkie talkies, photocopiers, filing cabinets and fax machines. Most duties will be in the club. The employee must occasionally lift or move office products and supplies, up to 20 pounds. Physical and Mental Requirements: Physical, mental, and emotional stamina to perform the duties and responsibilities of the position under sometimes stressful conditions; Physical, mental, and emotional tolerance to be exposed to the noise generated by children/youth in an enclosed environment; Mental acuity to collect and interpret data, evaluate, reason, define problems, establish facts, draw valid conclusions, make valid judgments and decisions. High energy level, comfortable performing multi-faceted projects; superior interpersonal abilities-able to interact effectively with co-workers of all levels and with the representation of other organizations and institutions. Ability to communicate with diverse personalities, tact, maturity, and flexibility.
