Description:
Pono Aina Management LLC is currently seeking a Facility Management Coordination Support Specialist (FMCS) to join their team. This important role is responsible for the effective day-to-day management and coordination of all facility-related services, maintenance, repairs, and office operations for the Australian Liaison Office (LO) at Patuxent River, Maryland. The position ensures a safe, functional, efficient, and professional working environment for Australian Defense personnel supporting the F/A-18F Super Hornet and EA-18G Growler programs. The successful candidate will act as the primary point of contact for all facility matters, including major relocations, ongoing maintenance, and vendor coordination in a secure defense setting.
Key Responsibilities:
- Coordinate all facility maintenance, repairs, upgrades, and preventive maintenance activities
- Manage relationships with landlords, building management, contractors, and service providers
- Obtain competitive quotes, evaluate proposals, and process service requests
- Schedule and supervise tradespeople, technicians, and contractors visiting the facility
- Lead planning and execution of facility relocations, office reconfigurations, and move-in/move-out activities
- Oversee office fit-outs, furniture management, space planning, and equipment installations
- Ensure compliance with workplace health and safety standards, security requirements, and Australian Defence policies
- Maintain accurate facility records, asset inventories, maintenance logs, and service contracts
- Coordinate non-standard building services such as signage, waste management, cleaning, and utilities
- Serve as the primary point of contact for all facility-related issues and emergencies
- Support the Australian LO with general office services and operational readiness
Mandatory Requirements:
- U.S. or Australian Citizenship
- Current or ability to obtain a U.S. SECRET clearance (or Australian AGSVA equivalent)
- Minimum 3–5 years of experience in facilities management, building maintenance coordination, or office services management
- Demonstrated experience coordinating maintenance, repairs, and service providers in a professional or government environment
Important Requirements:
- Strong organizational and project coordination skills
- Excellent vendor and stakeholder management abilities
- Knowledge of health, safety, and security regulations in office or government facilities
- Proficiency with Microsoft Office suite (Outlook, Word, Excel)
- Experience supporting facility relocations or major office transitions
- Valid driver’s license and ability to operate a vehicle on base
Physical Requirements:
- Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Requires the ability to walk short distances.
- Exerting up to 15 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
- Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. the worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
