Position: HSE Administrator

Reports to: HSE Manager

Employment: Full-Time

FLSA Status: Non-Exempt

Stasis Drilling Solutions, LLC is a privately held oilfield services (OFS) provider headquartered in in Houston, TX with operations throughout the lower 48 of the United States.

JOB DESCRIPTION

The HSE Administrator is responsible for supporting the administration and maintenance of the company's Health, Safety, and Environmental (HSE) programs through effective management of training records, compliance documentation, customer qualification systems, onboarding activities, and HSE reporting. This role serves as a central resource for HSE administration and ensures records, certifications, and compliance data remain current, accurate, and audit-ready.

The position works closely with the HSE Manager, QHSE Manager, Operations, Human Resources, Fleet, and field personnel to support regulatory compliance, customer requirements, and company HSE initiatives.

RESPONSIBILITIES

  • Maintain HSE records, documentation, and compliance files in accordance with company procedures and applicable regulations.
  • Coordinate employee onboarding activities related to HSE systems, training requirements, and compliance documentation.
  • Administer employee access and user profiles within HSE compliance and training platforms, including customer and contractor management systems.
  • Track employee training, certifications, and qualification requirements to ensure compliance with company and customer requirements.
  • Maintain training records and support scheduling of required safety training programs.
  • Coordinate monthly safety meetings and maintain associated records and documentation.
  • Support internal and external HSE audits by collecting, organizing, and maintaining required documentation.
  • Assist with customer HSE prequalification requirements, contractor compliance submissions, questionnaires, and audit responses.
  • Maintain HSE procedures, forms, manuals, and controlled documents to support compliance with management system requirements.
  • Track and maintain observation cards, corrective actions, and other HSE program records.
  • Coordinate monthly facility inspection programs and maintain associated inspection records.
  • Support HSE reporting activities, including monthly and quarterly compliance reports.
  • Assist with incident documentation, investigation records, and corrective action tracking.
  • Maintain the SDS database and other HSE reference materials.
  • Support emergency response planning documentation and emergency preparedness records.
  • Coordinate uniform issuance and other HSE-related onboarding requirements.

EDUCATION REQUIREMENTS

  • High school diploma required
  • Associate degree in Business Administration, Occupational Safety, Environmental Science, or related field preferred

REQUIRED EXPERIENCE & SKILLS

  • 1–3 years of experience in administrative, compliance, training coordination, or HSE support roles
  • Strong organizational and document management skills
  • Proficiency in Microsoft Word, Excel, Outlook, and document management systems
  • Ability to manage multiple priorities and deadlines
  • Strong attention to detail and recordkeeping accuracy
  • Excellent verbal and written communication skills
  • Ability to maintain confidential employee and company information

PREFERRED EXPERIENCE & SKILLS

  • Experience supporting HSE, Quality, HR, or compliance programs
  • Experience working with contractor management systems and customer compliance portals
  • Familiarity with OSHA requirements and industrial work environments
  • Experience supporting oilfield services, manufacturing, or industrial operations
  • Exposure to ISO 9001, ISO 14001, or ISO 45001 management systems

PHYSICAL REQUIREMENTS

  • Ability to sit, stand, and work at a computer for extended periods
  • Ability to occasionally walk in shop, yard, or field environments to inspect vehicles
  • Ability to lift and carry up to 25 pounds occasionally
  • Work is primarily in an office environment with regular exposure to shop or outdoor conditions

TRAVEL REQUIREMENTS

  • Primarily local travel within the Houston area
  • Up to 25%
