Description:
Transportation & Freight Coordination
- Coordinate inbound and outbound shipments with carriers, vendors and customers.
- Obtain and compare freight quotes and select the most appropriate transportation option based on cost, service and delivery requirements.
- Arrange LTL, courier, truckload and other transportation services as required.
- Monitor freight costs and identify opportunities to reduce transportation expenses.
- Ensure freight charges are accurately communicated to ISS to ensure correct freight captured on customer orders.
- Coordinate partial and split shipments and ensure freight charges are adjusted accordingly.
- Work with the warehouse to coordinate pickups and ensure shipments are ready for scheduled carrier arrivals.
- Maintain strong relationships with transportation providers and monitor carrier performance.
Shipment Tracking & Delivery
- Track shipments from pickup through final delivery.
- Proactively identify and communicate shipment delays, damages, shortages or other transportation issues.
- Follow up with carriers on delayed or missing shipments.
- Provide accurate shipment status updates to Sales, ISS, Purchasing and customers when required.
- Investigate delivery discrepancies and coordinate resolutions.
- Maintain records of shipment tracking information and delivery confirmations.
Inbound Logistics
- Coordinate incoming shipments from domestic, U.S. and international vendors.
- Work closely with Purchasing to monitor expected vendor shipments and delivery dates.
- Ensure required shipping documents are received and available prior to arrival.
- Coordinate with customs brokers and freight forwarders when required.
- Monitor shipments through customs clearance and communicate any issues that may affect delivery.
- Coordinate consolidation opportunities where appropriate to improve freight efficiency.
- Communicate expected arrival dates to the Warehouse and relevant internal departments.
Documentation & Administration
- Prepare, review and maintain bills of lading, packing slips, commercial invoices and other transportation documentation.
- Ensure shipment information is accurate, including quantities, weights, dimensions, addresses and carrier details.
- Enter and maintain shipment and freight information in the company's ERP system and other applicable systems.
- Ensure freight invoices are accurate and correspond with quoted or agreed-upon rates.
- Investigate freight billing discrepancies and work with carriers to resolve them.
- Maintain organized logistics records and documentation.
Customer Service & Internal Communication
- Work closely with ISS and Sales to understand customer delivery requirements.
- Provide timely and accurate information regarding shipment status and expected delivery dates.
- Respond to logistics-related inquiries from customers, vendors and internal departments.
- Escalate significant delays, service issues or additional freight costs to the appropriate manager.
- Support the team in resolving customer delivery issues while maintaining a high level of customer service.
Process Improvement
- Identify opportunities to improve logistics processes, reduce freight costs and improve delivery performance.
- Assist in developing and maintaining logistics procedures and SOPs.
- Monitor carrier performance, service levels and freight costs.
- Maintain accurate logistics data and assist with reporting and KPI tracking.
- Support continuous improvement initiatives within the Operations and Supply Chain department.
- 2–5 years of experience in logistics, transportation, supply chain or distribution.
- Experience working with carriers, freight companies and transportation providers.
- Experience with LTL, courier and truckload shipments.
- Experience in a wholesale, distribution or manufacturing environment is an asset.
- Knowledge of Canadian and U.S. shipping requirements.
- Customs and cross-border shipping experience is an asset.
- Experience with ERP systems; System21 experience is an asset.
- Strong Microsoft Office skills, particularly Excel and Outlook.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple priorities and deadlines
- Strong written and verbal communication skills.
- Ability to work independently while also working effectively as part of a team.
- Strong problem-solving and follow-up skills.
