The Recruitment Coordinator provides comprehensive administrative and operational support for the recruitment and onboarding process, ensuring an exceptional candidate and hiring manager experience from initial recruitment through hire. This position coordinates interviews, manages recruitment logistics, maintains applicant tracking systems, prepares employment documentation, and facilitates communication among candidates, hiring managers, recruiters and external partners.

Recruitment Coordinator Details

Essential Job Duties:

  • Provide support in posting job openings on job boards, Union Health websites, and social media platforms, and other recruitment sources.
  • Partner with Marketing and Communications on resources and materials that are appropriately branded and connected to organizational strategies and guidelines.
  • Review resumes and applications to identify qualified candidates as requested.
  • Coordinate candidate interview schedules, travel arrangements, itineraries, and site visits while ensuring an exceptional candidate experience.
  • Communicate with candidates regarding interview details and hiring updates as requested.
  • Maintains and updates Union Health’s applicant tracking systems (ATS) and candidate databases to ensure accuracy, timeliness of information, and required task completions.
  • Assist with recruitment reports, dashboards, and metrics including time-to-fill, candidate pipeline activity, interview activity, and recruitment source effectiveness.
  • In coordination with the recruiter, plan for and participate in career fairs, recruiting events, and campus hiring activities.
  • Ensure compliance with hiring policies and employment regulations.
  • Serve as the physician and advanced practice provider liaison for the new hire and onboarding process.
  • Partner with medical staff offices, credentialing, and legal counsel to facilitate immigration processes for physicians, advanced practice providers, and other healthcare professionals.
  • Prepare and place required job advertisements using approved recruitment sources (newspapers, online job boards, state workforce agencies, professional journals, etc.).
  • Collaborate with immigration counsel on PERM labor certification cases, H-1B petitions, TN visas, J-1 waivers, O-1 petitions, and permanent residency sponsorship.
  • Provide guidance to leaders and candidates regarding employment authorization, sponsorship processes, and immigration timelines.
  • Prepare recruitment reports and documentation for DOL audits and USCIS requests for evidence (RFEs) as needed.

Qualifications:

  • Associate degree in Human Resources, Business Administration, Healthcare Administration, or a related field required; bachelor's degree preferred.
  • Professional in Human Resources (PHR), SHRM Certified Professional (SHRM-CP), or Talent Acquisition Specialty certification preferred.
  • Minimum of two (2) years of experience in recruitment, human resources, physician recruitment, talent acquisition, healthcare administration, or an administrative support role.
  • Experience coordinating interviews, scheduling, onboarding, or recruitment processes preferred.
  • Healthcare recruitment experience preferred.
  • Familiarity with immigration sponsorship processes (PERM, H-1B, J-1, TN, O-1) preferred.
  • Strong organizational and project coordination skills with the ability to manage multiple priorities and meet deadlines.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
  • Experience using applicant tracking systems (ATS), HRIS, or recruitment software preferred.
  • Knowledge of employment laws, recruitment best practices, and equal employment opportunity principles preferred.
