About the Role
The Numismatic Support Associate at Canadian Coin and Currency plays a key role in supporting the acquisition, processing, organization, and sale of rare coins, paper currency, and collectible inventory. This position helps ensure operational accuracy, exceptional client service, and efficient coordination between retail, wholesale, and grading operations.
Associates help maintain detailed records, support client and dealer relationships, and contribute to the integrity and accuracy of inventory management processes. What You'll Do
Inventory Management and Data Accuracy
- Accurately log incoming and outgoing numismatic inventory, including coins, paper currency, and related collectibles.
- Maintain detailed records of years, mint marks, grades, certification numbers, pricing, and inventory locations.
- Update spreadsheets, databases, and inventory systems promptly and accurately.
- Verify data entry and inventory details to ensure accuracy before publication or sale.
- Support inventory audits, reconciliations, and quality control processes.
- Assist with organizing and maintaining secure storage of inventory.
- Prepare and track submissions to third-party grading services such as PCGS, NGC, and PMG.
- Maintain accurate records of submissions and grading results.
- Reconcile returned submissions and update inventory systems accordingly.
- Assist with cataloging and preparing newly graded inventory for sale.
- Serve as a professional point of contact for collectors, investors, dealers, and retail customers.
- Respond to inquiries regarding inventory availability, order status, grading submissions, and product information.
- Communicate clearly and professionally by phone, email, and in person.
- Build trust through accurate information, timely follow-up, and exceptional service.
- Support both retail and wholesale relationships while contributing to a positive client experience.
- Assist with invoicing, payment processing, and transaction documentation.
- Coordinate with fulfillment teams to ensure orders are processed accurately and efficiently.
- Support daily operational workflows, inventory intake, and order verification.
- Participate in inventory counts, audits, and organizational projects.
- Maintain a clean, organized, and professional workspace.
- Assist with special events, promotions, and other duties as assigned.
- Follow all Canada Gold policies related to inventory security, documentation, and operational procedures.
- Maintain accurate records for audit and reporting purposes.
- Handle high-value inventory with care, accountability, and attention to detail.
- Support loss prevention and inventory control standards.
- 1–3 years of experience in administration, operations, customer service, inventory management, or a related role.
- Experience with collectibles, luxury goods, auctions, precious metals, or other high-value products is an asset.
- Strong proficiency with Microsoft Excel and Google Sheets.
- Ability to learn new inventory, e-commerce, and operational software systems.
- Excellent written and verbal communication skills.
- Strong organizational skills and exceptional attention to detail.
- Ability to occasionally lift and move items weighing up to 50 lbs
- Successful completion of a background check is required
- Demonstrated ability to handle confidential information and high value inventory with professionalism and discretion
