Position Overview:
We are seeking a dependable, organized, and detail-oriented Construction Scheduler / Administrative Assistant to join our team. This position will provide administrative and scheduling support while coordinating with clients, field technicians, project managers, and other members of the team.
The ideal candidate is someone who communicates professionally, stays organized in a fast-paced environment, and is comfortable managing multiple tasks and changing priorities. Construction industry experience is helpful but not required; we are willing to train the right candidate.
Key Responsibilities:
- Schedule and coordinate construction-related inspection and testing services, and field appointments.
- Answer incoming scheduling calls and respond to client emails.
- Communicate appointment dates, times, locations, and job requirements accurately.
- Review schedules and make adjustments when appointments change or conflicts arise.
- Confirm appointments and follow up with clients and field personnel as needed.
- Enter and maintain accurate job and client information in company systems.
- Prepare, organize, scan, and file documents and reports.
- Assist with administrative tasks and general office support.
- Communicate schedule changes, cancellations, and urgent requests promptly.
- Work closely with management and other departments to ensure scheduling needs are met.
- Perform other administrative duties as assigned.
Qualifications:
- Excellent communication skills, both written and verbal, with the ability to interact professionally with clients and team members.
- Exceptional organizational skills and attention to detail.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Strong problem-solving skills and ability to think critically.
- Computer literacy – Microsoft suite
- Excellent time management
- Basic math skills
- Basic writing skills
