Position Summary
We are seeking an organized, detail-oriented Inside Sales / Project Coordinator to support our sales team and coordinate projects from initial inquiry through quoting, submittals, approvals, and production release. This role partners closely with Engineering, Production, Purchasing, and Shipping, as well as external sales reps, dealers, customers, and contractors to ensure projects are quoted accurately, documented correctly, and executed on schedule.
The ideal candidate has experience reading blueprints or construction drawings, preparing quotes and proposals, coordinating multiple projects, and providing excellent customer service. Experience in restaurant equipment, commercial kitchens, manufacturing, construction, millwork, stainless-steel fabrication, or a related industry is preferred.
Requirements:Essential Duties and Responsibilities
· Prepare quotes and proposals in AutoQuotes; support special-order pricing and product substitutions as needed. Ensure quotes and submittal packages are delivered accurately and on time.
· Review architectural/equipment plans, specifications, and shop drawings to identify requirements, constraints, and scope gaps.
· Coordinate submittal and drawing packages with internal teams and external parties; manage drawing revisions and approval cycles.
· Confirm product dimensions, finishes, quantities, and specifications prior to production release.
· Maintain accurate project files, correspondence, and status updates in company systems.
- Coordinate projects from the sales and estimating stages through production, delivery, and installation coordination.
- Serve as a primary point of contact for sales representatives, dealers, and consultants regarding project status and documentation.
- Communicate schedule risks, missing information, and conflicts early to keep projects on track.
- Track project schedules, manufacturing timelines, approvals, deliveries, and installation dates.
- Track quote status and follow up on, pending approvals, customer questions, and outstanding project information.
- Identify potential project conflicts, missing information, or scheduling concerns and communicate them promptly.
- Provide customers and outside sales representatives with timely project updates.
- Help resolve issues such as order discrepancies, manufacturing errors, and other customer concerns in partnership with internal teams.
- Participate in sales meetings and provide updates on active projects.
- Develop strong working relationships with customers and support repeat business opportunities.
- Perform additional sales-support and project-coordination duties as assigned.
Qualifications
- High school diploma or equivalent required; associate or bachelor’s degree in business, construction management, engineering, design, or a related field is preferred.
- Two or more years of experience in inside sales, project coordination, estimating, manufacturing, construction, restaurant equipment, or a related industry preferred.
- Ability to read and interpret blueprints, equipment plans, architectural plans, specifications, equipment schedules, and/or shop drawings.
- Strong organizational and time-management skills with the ability to manage multiple projects and deadlines.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Customer-service-focused approach with strong problem-solving skills.
- Ability to work independently while collaborating with outside sales and internal departments.
- Proficiency with Microsoft Office, including Outlook, Excel, and Word.
- Experience using CRM, ERP, quoting, order-entry, or project-management software is preferred.
- Basic understanding of manufacturing processes, measurements, dimensions, materials, and lead times is preferred.
- Experience with commercial restaurant equipment, stainless-steel fabrication, millwork, cabinetry, refrigeration, or food-service construction is a plus.

Physical and Work Requirements
- Ability to work primarily in an office and manufacturing environment.
- Ability to sit, stand, and use a computer for extended periods.
- Ability to walk through production areas and active project sites when necessary. and follow all safety policies when in production areas (PPE as required).
- Occasional lifting of samples, documents, or materials weighing up to 25 pounds.
