Hours: Approximately 15–25 hours per week
Assignment: Initial 90-day temporary assignment, with potential for extension or permanent employment based on business needs and performance
Pay: $22–$26 per hour, based on experience
The Washington Group is seeking a highly organized, proactive, and detail-oriented Executive & Administrative Assistant to provide direct administrative and project coordination support to the Chief Executive Officer.
This position will serve as an administrative extension of the CEO, helping organize priorities, manage follow-up, coordinate meetings and projects, and ensure important deadlines, assignments, and commitments do not fall through the cracks.
The ideal candidate is someone who can anticipate needs, keep multiple priorities organized, communicate professionally with a variety of stakeholders, and independently follow through on assigned tasks.
This is not a receptionist position or a department-management position. The primary purpose of this role is to provide direct administrative, organizational, and project coordination support to the CEO.
Essential ResponsibilitiesExecutive & Calendar Support- Manage and organize the CEO's calendar, meetings, appointments, and scheduling priorities.
- Coordinate meetings with managers, employees, vendors, clients, and outside professionals.
- Prepare agendas, meeting materials, presentations, reports, and other documents as requested.
- Prepare the CEO for upcoming meetings, deadlines, appointments, and commitments.
- Take meeting notes and maintain clear action-item lists.
- Maintain a centralized CEO task, project, and follow-up tracker.
- Track outstanding assignments, deadlines, commitments, and deliverables.
- Follow up with responsible individuals regarding outstanding items.
- Identify overdue or pending items and bring them to the CEO's attention.
- Assist with coordinating company projects, special initiatives, and executive priorities.
- Maintain organized documentation related to projects and assignments.
- Help ensure projects and commitments move forward according to established timelines.
- Organize executive files, documents, reports, spreadsheets, and other business information.
- Prepare and maintain spreadsheets, reports, presentations, forms, and other administrative materials.
- Assist with compiling information and preparing materials for leadership and management meetings.
- Conduct research related to vendors, services, business opportunities, community initiatives, and other topics as assigned.
- Assist with special administrative projects and company-wide initiatives.
- Provide general administrative support wherever needed to help the CEO remain focused on higher-level responsibilities.
- Coordinate professional communications on behalf of or at the direction of the CEO.
- Communicate with managers, employees, vendors, clients, community organizations, and outside professionals as needed.
- Follow up on requests and assignments and communicate status updates appropriately.
- Help ensure important information is communicated accurately and in a timely manner.
- Maintain professionalism and confidentiality when handling sensitive business and employee information.
- Assist with company events, community initiatives, business awards, and organizational activities.
- Support preparation of professional internal communications and company materials.
- Assist with research, planning, coordination, and follow-through for special projects.
- Track special projects from assignment through completion.
- 2+ years of administrative, executive assistant, office coordination, project coordination, or related experience preferred.
- Experience supporting executives, managers, or organizational leadership preferred.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and follow-through.
- Ability to manage multiple priorities and deadlines simultaneously.
- Ability to work independently with minimal supervision.
- Strong proficiency with Microsoft Office, Google Workspace, spreadsheets, calendars, and presentation software.
- Professional judgment and discretion when handling confidential information.
- Ability to communicate professionally with employees, leadership, clients, vendors, and external contacts.
