Operations Coordinator – Office Management

Overview:
Miller Environmental Group (MEG) is seeking an Operations Coordinator to support daily branch operations and ensure efficient coordination across teams, equipment, and compliance functions. This role is responsible for providing administrative, scheduling, dispatch, and regulatory support to maintain safe, organized, and high-performing operations.
The Operations Coordinator plays a critical role in coordinating drivers, technicians, and equipment resources while supporting compliance documentation, billing processes, and operational data accuracy. This position serves as a key liaison between field teams, leadership, and supporting departments to ensure seamless daily execution and adherence to regulatory requirements.

Key Responsibilities:
- Review service tickets for accuracy, completeness, customer requirements, and regulatory compliance
- Maintain permits, registrations, manifests, waste stream documentation, and other compliance records (DOT, OSHA, environmental)
- Schedule drivers, technicians, equipment, and resources to support daily operations, projects, and emergency response activities
- Coordinate inter-branch logistics, including equipment transfers, personnel assignments, and fleet needs
- Prepare and support billing documentation, invoice packages, proposals, and quotes as needed
- Track operational metrics, compliance deadlines, resource utilization, and permit requirements
- Maintain organized records for projects, contracts, waste streams, and operational programs
- Provide administrative and coordination support to branch leadership and field teams
- Identify and escalate discrepancies, non-compliant loads, safety concerns, or operational issues
- Ensure company systems are updated with accurate scheduling, dispatch, fleet, and compliance data
- Support communication between field personnel, drivers, foremen, and management to ensure efficient operations
Required Qualifications:
- High School Diploma or GED required; Associate or Bachelor’s degree preferred
- Experience in environmental services, remediation, waste management, industrial services, or a related field required
- Proficiency in Microsoft Office (Word, Excel, Outlook); experience with NetSuite, QuickBooks, or similar systems preferred
- Knowledge of DOT regulations and fleet compliance requirements
- Strong organizational, time management, and multitasking abilities
- Excellent verbal and written communication skills
- Ability to work under pressure, meet deadlines, and adapt in a fast-paced environment
- Team-oriented with the ability to work independently and demonstrate a strong sense of urgency
- Valid, unrestricted driver’s license preferred
- Successful completion of a post-offer drug screen and background check in accordance with applicable law
Work Environment & Physical Demands:
- Work is primarily performed in an office setting with occasional field involvement
- Frequent sitting, computer use, and communication duties
- Occasional walking, bending, reaching, and lifting (up to 25 lbs)
- Field exposure may involve varying environments, noise levels, and operational conditions
