The Commercial Sales Support Coordinator plays a critical role in supporting the day-to-day sales and customer service operations of the Commercial Branch. This position serves as the primary point of contact for inbound customer inquiries while providing administrative and sales support that improves customer responsiveness, accelerates revenue generation, and ensures a seamless customer experience from the initial phone call through project completion. The Commercial Sales Support Coordinator works closely with Branch Management, Estimators, Service Technicians, and Operations to maximize technician productivity, support revenue growth, improve customer communication, and help achieve the branch's sales and profitability goals. The ideal candidate is highly organized, customer-focused, and thrives in a fast-paced environment where priorities change throughout the day. Success in this role is measured by responsiveness, scheduling efficiency, estimate follow-up, customer satisfaction, and the branch's ability to consistently achieve revenue goals.
Responsibilities
Customer Service & Dispatch Support
  • Serve as the primary point of contact for incoming commercial customer calls.
  • Create new service opportunities by gathering accurate customer information and documenting service needs.
  • Schedule service appointments to maximize technician productivity and route efficiency.
  • Coordinate daily schedules with the Commercial Sales Manager and Service Technicians.
  • Provide exceptional customer service while maintaining a positive and professional image of Precision Garage Door.
  • Respond promptly to customer questions regarding scheduling, job status, and service expectations.

Sales Support
  • Assist Estimators by preparing and building customer estimates.
  • Follow up on open and unsold estimates to maximize sales opportunities.
  • Schedule follow-up appointments and customer meetings as needed.
  • Support the administration of Commercial Service Agreements, including renewals and customer communication.
  • Assist with outbound prospecting campaigns and customer outreach initiatives.
  • Maintain accurate customer information within company software systems.
  • Assist in managing Work-In-Progress (WIP) by helping move projects efficiently through the sales process.
  • Maintain accurate customer records and job documentation.
  • Assist with reporting and branch KPI tracking.
  • Support weekly sales pipeline and Work-In-Progress reviews.
  • Assist with scheduling optimization and workload balancing.
  • Perform additional sales support and administrative responsibilities as assigned.

Qualifications
  • Strong organizational skills with the ability to prioritize multiple responsibilities in a fast-paced environment.
  • Exceptional interpersonal skills with the ability to build strong relationships with customers, vendors, and team members.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to provide outstanding customer service.
  • Highly resourceful with strong problem-solving and decision-making abilities.
  • Ability to manage confidential information with professionalism and discretion.
  • Detail-oriented with excellent follow-through and organizational skills.
  • Ability to work independently while contributing effectively as part of a team.
  • Minimum of two years of experience in customer service, inside sales, dispatch, scheduling, or administrative support.
  • Experience with CRM, scheduling, or service management software preferred.
  • Commercial service, construction, or home service industry experience preferred.
  • Proficient with Microsoft Office (Outlook, Word, Excel, and PowerPoint).
  • Must maintain a professional appearance and positive attitude.

  • Must be able to sit for extended periods of time.

Physical Requirements
  • Light work – exerting up to 20 pounds of force occasionally and/or a light amount of force constantly to move around computers.
  • Talking – expressing and exchanging ideas by means of spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
  • Hearing – perceiving the nature of sounds at normal speaking levels or without correction. Ability to receive detailed information through oral communication and make fine discriminations in sound.
  • The incumbent is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; and expansive reading.

CompensationThe base pay range for this role is $20 – $25 per hour.
